The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Associate Director, Technology is responsible for managing the day-to-day technology needs for the President, the Office of the President team, and the Office of the Secretary team. This includes overseeing technology systems and managing the inventory of hardware and software. Additionally, the Associate Director will provide project management leadership for all technology-related initiatives, ensuring smooth execution and coordination across teams.

The Associate Director will also be expected to provide a customer service-focused approach while serving as the first line of support for the Office of the President's (OOTP) technology needs. They will work with OOTP leadership and Columbia University Information Technology (CUIT) to ensure appropriate technology including computers, hardware, software, systems and other equipment for the office is sourced, maintained, updated, and kept secure.

Responsibilities

Customer Service and Issue Management:



  • Provides excellent customer service and communication to the team for all technology-related matters.
  • Provides first line of support for OOTP technology needs, resolving or escalating to the appropriate CUIT unit as necessary.
  • Communicates updates to the Office of the President team when devices are off-line or experiencing issues, on project statuses and next steps, and when systems-updates are anticipated.
  • Regularly and proactively interfaces with all members of the Office of the President staff, outside vendors, CUIT, and other units to ensure a smooth and functioning workflow.
  • Works with OOTP staff to develop strategies and plans to enhance client services, improve user effectiveness, and foster innovation.
  • Serves as primary liaison to Columbia University Information Technology (CUIT). Coordinates and tracks all CUIT tickets, ensuring follow-up and that items are completed. Maintains the big-picture perspective for the Office of the President systems, utilizing CUIT's expertise to execute on day-to-day needs.


Technology Project Management:



  • Develops detailed project plans and objectives for the Office of the President technology needs, including evaluation and definition of scope, stakeholders, timeline, and necessary resources, all while minimizing project risk.
  • Facilitate all aspects of large-scale project planning and execution and lead small- and medium-scale projects.
  • Coordinates resources of internal and external partners to ensure on-time and successful project execution.
  • Manage the completion of project activities, focusing on status monitoring and schedule management, and communicating project status to team members and/or stakeholders, and escalating issues as needed.


Technology Inventory and Infrastructure Management:



  • Responsible for internal oversight and management of all Office of the President technology, including computers, hardware, software, systems, wireless devices, peripherals, and related equipment.
  • Works directly with Senior Executive Director and CUIT to ensure appropriate technology for the President is sourced, maintained, updated, and kept secure; and to ensure all technological systems used to directly support the President adhere to the same standards.
  • Maintains detailed and comprehensive documentation for all project management work and for Office of the President technology inventory.
  • Regularly track and audit access; ensure controls and adequate approvals.
  • Track expenses and maintain technology budget for the office.
  • Executes ongoing research regarding and analysis of Office of the President technology products and web properties and services, in consideration of University and industry best practices.
  • Develop and update training modules and provide technology training for all new technology implementations, changes, and upgrades for individuals and groups as needed.

Minimum Qualifications



  • Bachelor's degree required and minimum 4 years of related experience.
  • Project management and content development experience.
  • Proficiency with Drupal, MS Office Suite, Photoshop, and other Adobe products.
  • Familiarity with SEO concepts and web analytics systems.
  • Advanced knowledge of basic computer hardware and experience with operating systems including Apple OS X, iOS and Windows.
  • Superior verbal and written communication, research, and organizational skills, in addition to a very high level of attention to detail.
  • Demonstrate working knowledge of a range of diagnostic utilities and exhibit an ability to absorb and retain information quickly and convey it to others in user-friendly language.
  • Must be a team player and able to simultaneously coordinate multiple projects with competing priorities, in a fast-paced, deadline-oriented work environment.
  • On occasion, may be called upon to work outside standard business hours.
  • Confidentiality and discretion are required.


Preferred Qualifications



  • Proficiency with FileMaker Pro preferred.
