Scholarship Analyst

Job Summary

Reporting to the Director of Financial Aid and Scholarships Office and receiving work lead direction from the Assistant Director of Scholarship Programs, the Scholarship Analyst supports the San Jose State Scholarship Program by assisting in the implementation, administration, and monitoring of programs, processes, and communications. This position is responsible for maintaining applicant and scholar information, providing information and resources to both internal and external customers, and providing general administrative support to the office. This position also provides operational support to the Operations and Customer Service for the Financial Aid and Scholarship Office.

Key Responsibilities



  • Utilize and update FileMaker Pro layout to ensure proper student data import supporting Blackbaud
  • Manage, analyze, and operate weekly data import files of all students/applicants and faculty/staff using PeopleSoft module to maintain proper operation of the scholarship platform.
  • Troubleshoot with technical staff to manipulate queries for Blackbaud student data import files.
  • Manage, develop, and maintain the SJSU Scholarship platform, Blackbaud, of all criteria, applicant questions, review groups, references, communications, and award history
  • Analyze and implement new features and functionality resulting from upgrades and new releases from Blackbaud
  • Coordinate and evaluate new scholarship applications in the online scholarship application platform to provide a standardized format for the core elements common to all applications
  • Respond to departmental scholarship email inquiries in a timely and efficient manner
  • Sends and receives routine correspondence
  • Assists the Assistant Director with ongoing projects related to the scholarship process and timely implementation and completion
  • Prepares and ensures that all donor direct checks are logged in the FileMaker database
  • Maintains general knowledge of all federal and state Financial Aid programs including grants, loans and work-study with ability to explain the processes



Knowledge, Skills & Abilities



  • Ability to communicate with constituents in a professional and respectful manner
  • Thorough knowledge of English grammar, business writing, punctuation, and spelling
  • Ability to compose and appropriately format correspondence and reports
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections
  • Working knowledge of software applications, such as word processing, spreadsheets, graphics, and database management.
  • Ability to learn PeopleSoft and use a broader range of technology, systems, and packages
  • General knowledge of applicable university policies and procedures
  • Working knowledge of budget policies and procedures
  • Ability to perform accurately in a detail-oriented environment
  • Ability to handle multiple work priorities, and organize and plan work and projects
  • Ability to coordinate and prioritize multiple administrative and clerical tasks for a variety of policies and procedures where specific guidelines may not exist
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature
  • Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies
  • Strong oral communication skills. Must possess excellent customer service and public relations skills



Required Qualifications



  • A Bachelor's degree and/or equivalent training
  • Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs



Preferred Qualifications



  • Bachelor's degree
  • Two (2) years of professional work experience in student services or related field
  • Two (2) years of experience in a high-volume setting providing excellent customer service in higher education or related environment
  • Detailed knowledge of databases (i.e.: SIS, Banner, PeopleSoft, FileMaker Pro, Excel Spreadsheet) or comparable databases
  • Strong written and oral communication skills



Compensation

Classification: Administrative Analyst/Specialist - Non-Exempt
Anticipated Hiring Range: $5,250/month - $5,725/month
CSU Salary Range: $3,879/month - $7,488/month
