We are seeking a highly organized and detail-oriented Administrative & Data Entry Consultant to support a fast-paced Commerce team with data management, Excel reporting, allocation entry, file preparation, and cross-functional coordination.

The ideal candidate is self-motivated, organized, and highly proficient in Excel, with the ability to manage multiple files and priorities while maintaining accuracy and meeting deadlines. Experience in supply chain, retail, product management, inventory, or allocation processes is a plus.

Key Responsibilities



  • Prepare, update, and maintain Excel files using VLOOKUPs, PivotTables, formulas, and data entry.
  • Transfer and reconcile data between existing files and standardized templates for IT system uploads.
  • Attend training sessions and utilize recorded training materials to learn the NEO/S4 allocation entry and setup process.
  • Prepare allocation upload files by brand, retailer, and quantity for holiday sets, yearly sets, and future launches.
  • Manage Future Launch Order Form files and follow up with Marketing, DP/SP, and other cross-functional partners to ensure information is complete and ready for processing.
  • Collect No Cost allocation files for samples and GWPs and prepare NEO/S4 templates for system entry across brands and retailers.
  • Review order form files and proactively identify missing information, incomplete files, and outstanding actions.
  • Communicate updates to the Commerce team regarding newly published forms and file status.
  • Maintain accurate tracking files reflecting the latest status, progress, and outstanding items.
  • Review the Quota Violation Report daily and partner with Customer Care on follow-up and resolution.
  • Support team members with daily administrative and operational needs, including scheduling, meeting coordination, data analysis, data entry, and file creation and management.
  • Proactively communicate workload, project status, and completed assignments to the team.
  • Identify opportunities to improve file organization, accuracy, and efficiency.


Qualifications



  • 1-3 years of administrative, data entry, operations, or related experience.
  • Strong proficiency in Microsoft Excel, including:

    • VLOOKUPs
    • PivotTables
    • Basic formulas
    • Managing and updating multiple spreadsheets
    • Copying/duplicating formulas and maintaining data integrity


  • Strong attention to detail and accuracy when working with large amounts of data.
  • Excellent organizational and time-management skills with the ability to prioritize multiple tasks.
  • Strong written and verbal communication skills.
  • Ability to work independently, stay motivated, and proactively request additional work when assignments are complete.
  • Comfortable learning new systems and processes through training and self-guided resources.
  • Proficiency with the Microsoft Office Suite.
