THE POSITION

As a Records Specialist 1 for the Department of Corrections, Criminal History Verification Unit, you will support key decisions by providing verified information. DESCRIPTION OF WORK

This role centers on verifying criminal history information, reviewing sentencing documentation, and maintaining complete and accurate inmate records. It supports safe and orderly operations by ensuring data is correct, current, and ready for use. As a Records Specialist 1, you will perform the following duties:

  • Criminal History Review: Assess and verify criminal history documents to confirm dispositions and accuracy
  • Information Research: Analyze data through the Pennsylvania Justice Network or Commonwealth Law Enforcement Assistance Network and communicate with agencies to clear dispositions
  • Sentence Analysis: Compute and review sentencing information and analyze related legal documents
  • Record Maintenance: Maintain and update inmate records using information from multiple reliable sources
  • Document Processing: Prepare reports, affidavits, and responses based on completed record reviews
  • Inquiry Response: Respond to inquiries from inmates, staff, and agencies regarding sentence structures

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week
  • Work hours are 7:00 AM to 3:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to 3 days per week, reporting to the office on Tuesdays and Thursdays. Telework is subject to supervisor approval after successful completion of your probationary or training period. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Two years of clerical or correctional custodial experience; or
  • An equivalent combination of experience and training.

Other Requirements:

  • You must meet the PA residency requirement. For more information on ways to meet PA residency requirements, follow the link and click on Residency Guidelines.
  • Successful completion of basic training in Elizabethtown, PA is required.
  • You must be able to perform essential job functions.

  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
