Position Summary: The Payroll Coordinator I will support the broader organization by supporting the Manager, Payroll and Assistant Manager, Payroll with payroll processing, timekeeping, data accuracy verification and interacting with Human Resources (HR) to ensure accurate data entry. They will ensure a high level of accuracy while performing data entry related to payroll, providing general support to the payroll team and responding to routine payroll-related questions from employees. This entry-level position requires an ability to clearly explain payroll information with a customer mindset, and a high level of confidentiality. Strong attention to detail with a high degree of accuracy in data entry and a basic understanding of payroll procedures and wage and hour laws is required. Working in a team environment, the Payroll positions will collaborate with all employees and leaders across SIG SAUER. These are high visibility roles as Payroll's user group includes every employee.

Job Duties and Responsibilities:



  • Collect, calculate, and enter data into the payroll system, as well as retrieve data when necessary.
  • Support the Payroll Manager and Assistant Payroll Manager with processing payroll in accordance with company policies, and ensure compliance with all federal and state regulations, including reporting requirements.
  • Maintain accurate payroll records and ensure secure storage in accordance with regulatory requirements.
  • Prepare and distribute payroll reports to internal departments and management as needed.
  • Audit employee payroll information, including new hires, terminations, promotions, and compensation changes.
  • Serve as the first point of contact for employee payroll-related questions and concerns.
  • Process and prepare reports to capture weekly labor hours to staffing agency for temporary associates for all SIG SAUER US locations.
  • Review timekeeping discrepancies and work with the appropriate departments and/or supervisors to resolve them. Troubleshoot timecard discrepancies and report issues.
  • Coordinate with supervisors and department heads to ensure timely submission and approval of timecards. Process historical timecard adjustments and manage time off accruals.
  • General understanding of payroll deductions. Coordinate with HR to ensure accurate deduction start and stop dates. Audit 401k elections, and review and submit 401k data file.
  • Assist in developing user procedures, guidelines and documentation. Create standard operating procedure documentation for assigned tasks.
  • Assist with employment verifications and workers' compensation reports.
  • Scan and validate payroll backup to secure network drive.
  • Assist the Payroll team with administrative tasks and documentation.
  • Assist with monthly, quarterly, or year-end reporting of salary-based information.
  • Run preliminary and final payroll processing reports.
  • Maintain employee confidence and protect Payroll operations by preserving confidential information.
  • On-site work may be required at the discretion of management.
  • Utilize basic problem-solving skills to investigate and resolve common payroll issues.
  • Engage in continuous improvement projects and tasks.
  • Participate in 5S workplace organizational activities and maintain the area in good working order through sustainment activities
  • Must follow all required Safety and ISO procedures.
  • Miscellaneous duties as assigned.


Education/Experience & Skills:



  • High School diploma or equivalent, or related experience and/or training; or equivalent combination of education and experience. Bachelor's degree in related field preferred. Typically requires 1-2 years of previous payroll experience.
  • A basic understanding of wage and hour laws, and tax withholdings is required.
  • High level of accuracy and attention to detail.
  • Excellent communication skills, both oral and written with a strong customer service orientation
  • Demonstrated proficiency in Microsoft Outlook, Excel, Word and PowerPoint. Familiarity with payroll processing systems is preferred.
  • Ability to work in fast paced environment with shifting priorities and initiatives.
  • Ability to collaborate with HR and Finance teams, demonstrating clear communication and willingness to learn in a team environment.
  • Strong time management skills, ability to meet strict deadlines, and multi-task.
  • Ability to maintain confidential information.
  • Utilize basic problem-solving skills to investigate and resolve common payroll issues.
  • Must be able to clearly, concisely, and accurately convey ideas and information to others, both verbally and in written form.


Working Conditions:



  • Prolonged periods of sitting at a desk and working at a computer using a keyboard and mouse performing repetitive tasks.
  • Ability to open file cabinets, reach with hands and arms, bend, and twist, lift and move files.
  • Ability to lift up to 25 pounds.
  • Must wear required Personal Protective Equipment (PPE) where required.
  • Must comply with all work exposure EH&S training requirements and adhere to SIG SAUER Inc. Security Mandates.
