The Medical Assistant (MA) Hub position is an essential member of the Cancer Services team, dedicated to providing exceptional patient care and ensuring seamless coordination across clinical and administrative functions. Serving as a vital link between triage nurses, providers, and administrative staff, the MA Hub plays a key role in facilitating timely communication, coordinated care, and an outstanding patient experience throughout the cancer care journey.

Under the supervision of a clinical leader and in alignment with Ambulatory Services policies and procedures, the MA Hub supports patient care delivery across multiple Cancer Services ambulatory group practices. This role provides coverage for various cost centers within the Cancer Center, including multiple campuses and satellite offices.

Primary responsibilities include supporting clinical workflows, assisting with patient inquiries, coordinating follow-up care and appointments, managing documentation, and facilitating communication across multidisciplinary teams. The MA Hub also performs patient care and laboratory procedures as needed to support specialty services within the Cancer Center.

The ideal candidate demonstrates strong clinical knowledge, exceptional attention to detail, and a compassionate, team-oriented approach in a dynamic oncology environment. Flexibility, adaptability, and the ability to learn and support multiple specialty practices are essential to success in this role.

Key Responsibilities:

  • Validate and document patient-reported information.
  • Perform routine clinical functions and document in the patient chart, including fall risk assessments, vital signs, height, weight, pain screening, and chief complaints.
  • Follow established safety, environmental, and infection control standards.
  • Document interpreter use as appropriate and coordinate interpreter services for medical appointments in person, by video, or by phone.
  • Assist with medication reconciliation by helping patients update medication lists.
  • Assist nurses, providers, and patients in preparation for exams and procedures.
  • Perform sterile processing procedures in the outpatient clinic, including Cidex OPA, and maintain required logs.
  • Assist in complex medical procedures such as colonoscopies, biopsies, and ultrasounds.
  • Complete required competencies to assist with and prepare for specialty procedures.
  • Serve as a chaperone for medical providers as needed.
  • Transport patients safely as directed.
  • Monitor patient flow throughout the clinic.
  • Perform simple point-of-care testing, including quality assurance and quality control activities.
  • Obtain specimens and perform simple laboratory procedures in accordance with established policies and procedures.
  • Maintain required logs, including temperature, disaster cabinet, and crash cart logs.
  • Comply with Ambulatory Services and Medical Center policies and procedures related to infection control, safety, administrative, and clinical practice.
  • Identify and communicate issues to the team and appropriate supervisor.
  • Notify providers of patient delays and service issues and advocate for patients to facilitate timely care.
  • Maintain clean, well-stocked exam rooms, hub rooms, and laboratory areas.
  • Order and maintain clinical supplies in accordance with established standards.
  • Prepare charts for upcoming clinic visits by ensuring scans, laboratory results, and other required tests are completed.
  • Submit and track genomic test requests from third-party vendors and upload results into APEX.
  • Collaborate with members of the practice team to coordinate patient care.
  • Coordinate care and assist in resolving patient care issues.
  • Prepare patient letters and forms, including disability paperwork and work excuse documentation.
  • Manage external genomic testing workflows.
  • Assist clinical staff with writing and sending patient communications.
  • Manage clinical team in-basket messaging, staff messages, telephone encounters, and patient communications through APEX.
  • Complete referrals to other providers as ordered by the physician.
  • Obtain insurance authorizations for medications, procedures, and film or slide reviews.
  • Demonstrate professionalism and follow Medical Center telephone standards.
  • Answer phones for practice clinical teams.
  • Participate in quality improvement and customer service initiatives.
  • Offer suggestions for improvements in clinic and practice operations.
  • Assist patients with issues and complaints using conflict management skills.
  • Share pertinent information and observations with members of the healthcare team.
  • Work at the check-out station, schedule complex procedures, and coordinate patient services.
  • Maintain fax folders and upload documents to patient charts as appropriate.
  • Perform other patient care-related duties as assigned.

  • Relevant Medical Assistant experience
  • Excellent organizational skills with the ability to manage time effectively, prioritize tasks, and maintain accurate records.
  • Strong computer skills with the ability to efficiently navigate, operate, and troubleshoot standard software applications, including Microsoft Office, web-based platforms, and other relevant tools.
  • Effective written and verbal communication skills.
  • Current American Heart Association CPR Certification.

Preferred Qualifications:

  • Experience with insurance verification, medical record data abstraction, and/or patient financial services.
  • Bilingual or multilingual capability (Spanish, Cantonese, or Russian).
  • Experience working in an ambulatory medical setting.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
