Provide administrative support to full time Faculty
Specialists
andback up support to a revolving rotation of various
neurosurgeon's offices in the Department of Neurosurgery. Coordinate scheduling
and management of patient surgeries and all follow-up care. Organize and
coordinate physician's daily activities. Maintain physician's calendar for surgeries
and clinical appointments. Compose general and routine correspondence. Organize
and maintain a computer calendar system, including patient scheduling; prepare
a database for patient paperless charting. Triage incoming calls. Answering
multi-line telephone system and providing triage to callers. Maintain
administrative and confidential files. Screen urgent medical calls and delegate
appropriately. Obtain financial authorization from insurance carriers. Prepare
various disability forms for physician's signature. Maintain patient and
referring physician database. Assume responsibility for initiation and
completion of patient care services including referring and scheduling patients
and families for consultations, appointments and discussions. Obtain test and
lab results for patients.Convey results to medical staff for
surgical clearance and approval. Participate and interface in a
multidisciplinary program in the diagnosis and treatment of neurosurgical
disorders including scheduling and coordinating pre-surgical consultations and
intra-operative testing. Compose, edit and type routine correspondence from
general oral and written instructions from Neurosurgeon. Maintain curriculum
vitae.Maintain reprint file of journal publications, book chapters,
monographs and copies of manuscripts submitted but not yet published. Collect
CME- accredited meeting documentation for year-end CMA statement of CME
credits. Manage academic calendaring, travel, reimbursements. Facilitate
maintenance and/or purchasing of equipment and supplies.Participate
in patient care services including: screening patients, scheduling
appointments, scheduling surgical procedures, ancillary tests, coordinating
patient referrals, and facilitating patient requests, processing medical
records requests, disability forms, producing various letters at patient and
doctor's requests. Photocopy, mail and distribute physician's clinical
dictation. Assist in preparation and function of clinical service and billing
and collection of co-payments. Assist with other projects and administrative
tasks as needed. Provide assistance to billing agency for collections on
outstanding patient balances.

Hourly salary range: $ 30.36 - $ 43.49

Qualifications

Required:

  • Minimum 2 years experience scheduling surgeries.
  • Minimum 3 years experience working in patient care medical office
    setting.
  • Ability to accurately screen and triage acute patients. Ability to
    effectively elicit pertinent clinical information such as presenting complaints
    from patients and referring professional, and make appropriate assignments
    based on established guidelines.
  • Ability to accept direction from administration and act promptly.
    Ability to establish and maintain cooperative working relationships with
    patients, peers, physicians and administrators
  • Skill in listening perceptively, conveying awareness and
    responding to patients and visitors with health concerns using tact and
    discretion. Ability to interact diplomatically and sympathetically with
    patients, their families, and general public in a high volume, public setting
  • Skill in performing with frequent interruptions and/or
    distractions including the ability to accept equivocal circumstances and
    responds to changing priorities and deadlines. Ability to maintain composure in
    the face of resistance, indifference and hostility.
  • Ability to maintain confidentiality and to work with sensitive and
    confidential information using discretion and judgment. Working knowledge of UC
    patient registration system, appointment scheduling system and order entry
    system. Understand and respect cultural and religious differences.
  • High degree of adaptability. Comfortable with changing work flows.
    Skill in prioritizing assignment to complete work in a timely manner when there
    are changes in workload and assignments, pressures of deadlines, and/or a heavy
    workload. Demonstrated basic knowledge of physician office policies and
    procedures. Ability to establish and maintain cooperative and collaborative
    working relationships with medical, nursing and administrative personnel.
  • Ability to accept ambiguous circumstances and take action where
    answers to a problem are not readily apparent. Skill in working independently
    and following through on assignments with minimal direction
  • Working knowledge of patient related policies and procedures, as well
    as a thorough understanding of the University system. Familiarity with
    physician office billing procedures. Knowledge of University's Electronic
    Medical Record System preferred
  • Verbal and composition skills to convey detailed medical
    information. Working knowledge of PC including the following software:
    Microsoft Word, Microsoft Outlook, Microsoft Excel, Windows.
  • Skill speaking on a one to one basis with persons of various
    social, economic, and cultural backgrounds to obtain information and explain
    procedures. Ability to perform with frequent interruptions. Ability to
    prioritize workload when faced with changing deadlines. Ability to make
    independent decisions.
  • Requires flexibility and conscientiousness. The incumbent should
    be able to handle variable supervisors and be receptive to an unpredictable
    work schedule. They should have the ability to triage incoming calls with
    efficiency. The incumbent must have the flexibility to be able to handle
    variable Neurosurgeons calendars. Responsibility of checking in nightly for
    next day's assignment
  • Ability to constantly use multi-line telephone and computer.
  • Working knowledge of outpatient practice operations. Knowledge of
    neurosurgical medical terminology to communicate effectively with physicians,
    nurses and other members of the health care community. Current knowledge of
    neurosurgical diagnosis, treatments, and terminology. Knowledge of University
    forms and procedures.
