Summary:

The Executive Assistant to the Chief Marketing Officer (CMO) will provide high-level administrative support to the CMO and their team. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules and priorities in a fast-paced environment. The ideal candidate will act as a trusted partner to the CMO, ensuring seamless coordination of meetings, travel, and communications while maintaining confidentiality and professionalism.

Responsibilities:



  • Manage and prioritize the CMO's calendar, including scheduling meetings, calls, and travel arrangements.
  • Prepare and distribute meeting agendas, minutes, and follow-up action items.
  • Serve as a point of contact for internal and external stakeholders, ensuring timely communication and coordination.
  • Organize and manage special projects, events, and initiatives as directed by the CMO.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
  • Review and approve invoices, reports, memos, letters, financial statements, and other documents.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Make arrangements for travel, planning meetings, etc.
  • Submission of travel and other expense sheets for the supported leaders, as well as other administrative submissions needed, as requested by IT.
  • Respond to requests that come in for items like periodic organizational chart updates, seating charts, etc.
  • Manage an extremely active calendar of appointments; ensure that the executives stay on track during their day; prioritize meeting requests and handle conflicts or scheduling changes proactively.
  • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access if needed.
  • Triage and do basic troubleshooting for hardware. Software and phone issues. office supply management, and other general office management functions.
  • Liaison with the customer and the internal executive level.
  • Develop and maintain cross divisional relationships with other admin assistants.
  • Handle ad hoc admin duties as they arise.


Requirements:



  • Bachelor's degree in Business Administration, Communications, or a related field.
  • 6+ years of experience as an Executive Assistant or in a similar role.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.


Preferred Qualifications:



  • Experience supporting C-suite executives in a corporate environment.
  • Familiarity with marketing operations or related functions.
  • Ability to work independently and manage multiple priorities effectively.
  • Bilingual (English, Korean) ideal but not required.
