The Lead Product Department Coordinator plays a critical role in keeping the Product department running smoothly and efficiently. This role partners closely with the CPO and Product senior leadership team to support executive communications, department operations, events, and strategic initiatives. Your Role Responsibilities? Here's What You'll Do.
Provide PowerPoint support to the CPO and Product senior leadership team, creating and formatting executive-ready presentations for board reports, Hyland all-hands meetings, and Product department meetings; create and edit correspondence, spreadsheets, and presentations as needed
- Lead department events and meetings end-to-end, managing logistics, attendance, documentation, technical operations, session recording, and follow-up communications; support event and conference preparation for Product attendees including CommunityLIVE and Sales Kick Offs
- Lead small projects from planning through delivery; develop end-to-end process, procedure, and technical documents; support change management and communication activities for department initiatives ensuring timely and effective information sharing
- Maintain and update communication vehicles including distribution lists, Teams channels, contact lists, and Hyland Hub portals; support new employee onboarding by maintaining accurate onboarding data and sending timely communications; maintain the Product Academy through quarterly reviews
- Manage complex daily department activities including incoming and outgoing mail, office supplies, common spaces, staff travel arrangements, expense and time tracking, budget preparation, and expense management
- Develop meeting agendas, document proceedings, distribute minutes, and fulfill work requests from department staff accurately and on time; mentor, coach, and provide feedback to team members to support their growth and development

Role Essentials (Required Skills)
- Significant experience in a department coordinator or administrative support role, with demonstrated ability to manage complex and competing priorities
- Excellent written and verbal communication skills with the ability to interact with all levels of the organization with professionalism, discretion, and tact
- Strong interpersonal skills with the ability to build trusted relationships across teams and functions
- Keen attention to detail with a track record of maintaining high personal work standards and delivering accurate, timely work
- Proficiency in Microsoft Windows and Microsoft Office Suite, including advanced PowerPoint skills for executive-level presentations
What We'd Like to See (Preferred Skills)
- Experience supporting C-suite or senior leadership teams in a fast-paced, high-visibility environment
- Demonstrated ability to lead small projects end-to-end, including process documentation and change management support
- Experience planning and executing corporate events, meetings, or conferences from concept through follow-up
- Familiarity with managing internal communication platforms such as SharePoint, Teams channels, or intranet portals
- Ability to handle sensitive and confidential information with a high level of discretion and sound judgment
Pay Transparency
The salary range for this role is
$85,000 - $100,000. The listed salary range represents a good faith estimate at the time of posting. The listed range may be adjusted in the future based on business needs. Actual compensation will be based on job-related factors including, but not limited to, qualifications, skills and experience.

Responsibilities
- Apply significant experience and extensive knowledge of the department in managing complex daily department activities to maximize team efficiency and achieve team established goals
- Manage and delegate incoming and outgoing mail, shipping and receiving
- Maintain common spaces for appearance and functionality
- Manage office supply inventory and maintenance of storage areas
- Provide support to team members including staff travel arrangements, and expense and time tracking
- Develop and manage meeting agendas, schedule department meetings, document proceedings and distribute minutes
- Liaise with other areas to resolve information or project requests by department staff
- Coordinate budget preparation and expense management activities; interact with Finance team
- Fulfill work requests from department staff in timely and accurate manner
- Compiles and analyzes complex information and develops reports, proposals, or documents
- Operate as a trusted advisor on issues and trends; provide general consulting services leveraging expertise and significant best practice knowledge
- Operate as an innovative thought leader; contribute significantly to the overall growth and quality of the department through knowledge sharing and coaching on current best practices and market trends
- Mentor, coach, train, and provide feedback to other team members; provide feedback to leadership on abilities of team
- Create and edit correspondence, spreadsheets and presentations
- Lead and actively contribute to meetings with management, staff and peers
- Proactively manage and champion ideas for the department; lead the execution of proposed recommendations
- May interact with clients to obtain information, verifying schedules and for other department relevant activities
- Assist with marketing efforts and development of client proposals
Basic Qualifications
- High School diploma, or equivalent
- Experience as a Department Coordinator
- Significant experience as a Department Coordinator
- Experienced in delegation
- Experienced in identifying and completing tasks independently, with a sense of urgency and ownership
- Excellent interpersonal skills; able to build strong relationships and maintain solid rapport with team members as well as maintain professionalism with those outside of department
- Excellent oral and written communications skills that demonstrate a professional demeanor and the ability to interact with others with discretion and tact
- Keen attention to detail
- Demonstrated success at maintaining high personal work standards
- Demonstrated ability to handle sensitive information with discretion and tact
- Ability to provide guidance and support to developing team members
- Proficient with Microsoft Windows and Microsoft Office Suite
