Position Overview

The Senior Administrative Coordinator provides advanced administrative, operational, and analytical support to the Senior Associate Dean, Associate Dean for Assessment and Academic Reporting, Associate Dean for Academic Affairs, and the Senior Director, Division Budget and Operations for the G. Brint Ryan College of Business.

Minimum Qualifications

Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

* Exceptional communication and interpersonal skills, with the ability to build effective working relationships across departments
* Advanced Microsoft Office skills, particularly Excel and spreadsheet development
* Basic analytical skills with the ability to organize, summarize, and present data clearly through reports and supporting documentation
* Strong organizational and time management skills, with the ability to multitask, manage competing priorities, and adapt to changing needs
* Ability to take initiative, work independently, and follow through with minimal supervision
* Ability to exercise sound judgment and maintain confidentiality when handling sensitive information
* Knowledge of accounting procedures, budgeting practices, and financial tracking
* Administrative support skills, including calendar management, scheduling, agenda preparation, meeting coordination, and documentation
* Customer service skills, including front-facing support such as answering phones, greeting visitors, and responding to inquiries
* Knowledge of administrative policies, procedures, and operational practices
* Supervisory and coordination skills

* Experience working in higher education, preferably within an academic or administrative unit
* Experience generating and compiling reports from institutional systems
* Experience performing basic data analysis and preparing summary reports
* Advanced Microsoft Excel skills, including spreadsheet development and data organization
* Experience working with financial or budget reporting
* Experience supporting multiple leaders or departments simultaneously
* Experience coordinating administrative operations in a fast-paced environment
* Experience providing customer service and front-end administrative support

Job Duties



  • Provide advanced administrative, analytical, financial, and operational support to the Senior Associate Dean, Associate Dean for Assessment and Academic Reporting, Associate Dean for Academic Affairs, and Senior Director, Division Budget and Operations, including scheduling meetings, preparing materials, coordinating correspondence, travel coordination and expense reimbursement, and assisting with special projects.
  • Assist in pulling, compiling, and analyzing data using institutional systems to produce recurring and ad hoc reports on academic, financial, and operational activity, presented through reports, spreadsheets, dashboards, and tracking tools.
  • Serve as the building representative for the Business Leadership Building, attending and actively participating in all regular building representative meetings and activities. Coordinate with Facilities to report, track, and follow up on all building-related issues.
  • Assist with space management, including annual space survey verification, space requests, and inventory coordination verification.
  • Assist with projecting financial needs for equipment, supplies, and building modifications, including HEF budget requests as needed for furniture.
  • Act as the building's Safety Coordinator, ensuring compliance with safety protocols and supporting related initiatives, including oversight and maintenance coordination of the college golf cart.
  • Provide customer service to faculty, staff, students, and external partners by answering phones, greeting visitors, and responding to inquiries, while providing backup support to front desk staff.
  • Provide backup support to the Executive Assistant.
  • Perform other duties as assigned. -
