Position Announcement

Provide administrative and operational support to the Chief Human Resources Officer (CHRO) in the day-to-day activities of the Human Resources office. This role supports front desk operations, records management, communications, and general office functions, with significant responsibility for coordinating and maintaining HR departmental budget and financial processes. The position ensures efficient, accurate, and customer-focused service to faculty, staff, students, and the public.

Responsibilities

CHRO and Office Support

  • Provide administrative support to the CHRO, including calendar coordination, scheduling meetings, and preparing materials and correspondence.
  • Draft and edit routine communications, documents, and spreadsheets.
  • Coordinate HR projects and departmental activities to support office operations and priorities.

Budget Management and Financial Coordination

  • Track and monitor the Human Resources departmental budget, including expenditures and available balances.
  • Process and reconcile financial transactions, including P-Card purchases, invoices, and expense reports, in compliance with University policies.
  • Initiate and track purchase requisitions and payments.
  • Maintain accurate financial records and supporting documentation.
  • Prepare budget summaries and monitor expenses, communicating any discrepancies or concerns.
  • Coordinate purchasing of office supplies, services, and equipment within budget guidelines.

Front Desk and Office Coordination

  • Coordinate scheduling and coverage of HR front desk staff.
  • Support training and communication efforts to promote consistent customer service.
  • Monitor workflow and assist with day-to-day office operations.

Records Management and HR Systems

  • Maintain HR records, including filing, indexing, and archiving of employee personnel files in accordance with established policies and procedures.
  • Organize and maintain digital and physical records systems.
  • Support audits of HR files, data, and records for accuracy and completeness.
  • Input and maintain information in HRIS and related systems.

Communications, Events, and Wellness

  • Coordinate HR communications such as newsletters, announcements, and event notices.
  • Provide logistical support for HR events, trainings, and meetings.
  • Maintain and update the HR website and website calendar to ensure information is current.
  • Coordinate employee wellness activities, including scheduling events, communicating opportunities, and supporting participation efforts.

Compliance and Data Support

  • Gather information and conduct basic research for GRAMA requests and other data inquiries.
  • Support compliance with records management requirements and related standards.

HR Process Support

  • Coordinate processing of affiliate and Official Campus Volunteer access, including required documentation (e.g., background checks, system access, training requirements).
  • Support administrative components of HR processes across the department.
  • Continuously reviews processes and systems to support efficient workflows, assists with identifying improvements, and supports implementation of updates in collaboration with the CHRO.

Other

  • Maintains knowledge of HR practices, provides backup support, and completes special assignments and projects as assigned.
  • Performs other duties as assigned.

Qualifications

  • Associate's degree and two (2) years of administrative or office experience required; an equivalent combination of education and experience may be substituted on a year-for-year basis.
  • Experience with basic budgeting, purchasing, or financial tracking preferred.
  • Experience working with HR records and/or in higher education preferred.
  • Strong customer service skills with the ability to interact effectively with faculty, staff, students, and the public.
  • Ability to follow directions, complete tasks accurately, and maintain confidentiality.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple tasks and meet deadlines in a busy office environment.
  • Basic understanding of office operations and administrative procedures.
  • Proficiency in standard office software, including spreadsheets, email, and document creation.
  • Ability to work collaboratively as part of a team.

Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time overtime-exempt executive staff position. Annual salary of $35,700+, with a desired start date of July 2026.
