The Job

The Fulfillment Specialist is responsible for processing and distributing documents, such as enrollment packets, ID cards, and letters, while ensuring all print and fulfillment processes comply with organizational standards, regulatory requirements HIPAA standards and service level agreements (SLAs) They complete mailroom operations, track shipments, and coordinate with vendors to ensure timely and accurate delivery of materials to members and stakeholders.

You Will

  • Receives and responds to print and fulfillment requests and inquiries.

  • Prepares, prints, and assembles materials including, member correspondence and regulatory notices such as enrollment packets, ID cards, EOBs (Explanation of Benefits), while complying with organizational and HIPPA standards, regulatory requirements and service level agreements.

  • Sorts and distributes internal and external mail to various departments to complete necessary processes within compliant timeframes.

  • Manages undeliverable or returned physical and digital mail, makes outbound calls to members to identify correct mailing address and updates member records accordingly.

  • Assists with audits and reporting related to mailroom and fulfillment operations.

  • Operates and maintains high-volume printers, inserters, and finishing equipment to ensure smooth production.

  • Performs quality checks to ensure proper template formatting, print quality, accuracy and completeness for all outgoing documents.

  • Troubleshoots and corrects any print errors or formatting issues.

  • Coordinates with vendors for mailing services to ensure timely distribution.

Your Qualifications

  • 2+ years of experience in mailroom operations, fulfillment, or a related role.

  • High School Diploma or equivalent experience

  • Experience in healthcare, insurance, or Medicare-related fulfillment (preferred).

  • Performs work under direct supervision.

  • Handles basic issues and problems and refers more complex issues to higher-level staff.

  • Possesses beginning-to-working knowledge of subject matter.

  • Knowledge of HIPAA compliance and bulk mail processes

  • Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) is required.

  • Good verbal and written communication skills.

  • Good interpersonal skills.

  • Ability to understand and follow directions.

  • Strong attention to detail and ability to troubleshoot print and fulfillment issues.

  • Ability to manage multiple priorities in a deadline driven environment.
