The College of Veterinary Medicine, with the University of Arizona, seeks a Senior Coordinator, Academic Programs. The Senior Coordinator, Academic Programs serves as the primary operational lead for pre-clinical academic scheduling, overseeing the design, coordination, and execution of highly interdependent schedules for Years 1 and 2. This position manages multi-variable scheduling environments involving simulation, surgery groups, faculty availability, facilities, exams, and academic space utilization, requiring advanced sequencing and resource balancing. The role is cross-trained to support Clinical Year scheduling and lottery operations, ensuring continuity and operational resilience across the full curriculum. Through data reporting, timeline management, and event coordination, this position supports accreditation compliance and contributes directly to the quality, efficiency, and delivery of the College's educational programs.

Duties & Responsibilities
  • Following generally prescribed procedures and under moderate supervision leads the development, coordination, and execution of pre-clinical academic schedules for Years 1 and 2, managing multi-variable logistics across students, faculty, facilities, and curriculum requirements, including highly interdependent simulation and surgery group scheduling requiring advanced sequencing and resource balancing. Ensures compliance with university and AVMA COE accreditation standards. Serve as the quality control lead to ensure all academic schedules are accurately displayed in the Learning Management System (Elentra).
  • Provides cross-trained support for Clinical Year scheduling and lottery processes, including preparation, execution, site confirmations, schedule changes, and adjustments, ensuring continuity and operational stability. Actively supports and monitors clinical site compliance with program standards, contributing to the quality, integrity, and sustainability of clinical education partnerships.
  • Collaborates closely with faculty, academic staff, and leadership to evaluate the Year 1 and Year 2 curriculum; manages the curriculum timeline to ensure all deliverables are met across all departments; prepares and maintains reports on program activities, progress, and outcomes; and contributes to the Self-Study Report (SSR) and other accreditation documentation while continuously improving and streamlining processes for efficiency and compliance.
  • Oversees scheduling and utilization of academic spaces, manages exam, supports purchasing and procurement for curricular needs, and coordinates student-facing academic events throughout the year to ensure smooth delivery of instructional activities.
  • Independently troubleshoot issues, resolves operational challenges, and proactively identifies areas for continuous improvement. Develops, documents, and maintains standard operating procedures (SOPs) for academic program operations, ensuring consistency, accountability, and proper training across processes.

Knowledge, Skills, and Abilities:

  • Advanced proficiency in MS Word, Excel, PowerPoint.
  • Working knowledge of academic policies, procedures, and business practices, preferably in a higher education or academic setting.
  • Demonstrated ability to coordinate multiple priorities, manage complex processes, and meet deadlines in a fast-paced environment.
  • Strong organizational skills with a high level of attention to detail and data accuracy.
  • Effective oral and written communication skills and the ability to work collaboratively across teams.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience in higher education or data analysis or equivalent combination of education and work experience.
Preferred Qualifications

  • Master's degree
  • Over 5 years of relevant work experience in higher education.
  • Experience with academic scheduling, clinical education coordination, or complex program logistics.
  • Experience with power queries, database management, and basic HTML.
