The Senior Payroll Specialist is responsible for managing and processing complex multi-state payroll operations while ensuring compliance with federal, state, and local regulations. This role serves as a subject matter expert, providing support to payroll team members including mentorship, auditing, and system testing, while partnering closely with the payroll tax team, payroll systems team, HR, and finance, to ensure accurate and timely pay for all employees. The ideal candidate has extensive multi-state payroll knowledge, strong analytical skills and a passion for operational excellence and continuous improvement. The Concentra payroll team is responsible for ensuring timely and accurate payroll for approximately 14,000 employees. The position will report to the Manager, Payroll Services and can be a hybrid or remote role depending on the employee's home base.
Responsibilities
Payroll Processing:
- Process bi-weekly payroll while ensuring compliance with federal, state, and local wage and hour laws. Currently there are 23 payroll cycles being managed by payroll team with the volume of the payroll cycles being distributed between payroll processors. On average a payroll processor will manage up to 4000 employees.
- Handles sensitive and confidential information with mature judgement and integrity at all times.
- Thoroughly audits payrolls during and after processing to ensure data accuracy and approval requirements are met. Ensures follow through for all audit findings to ensure that completed payrolls meeting internal and external audit requirements.
- Process off cycle payment requests including termination payments in accordance with state regulations. Awareness of statutes and regulations is critical to ensure accurate and timely payment.
- Process separation (severance) agreements timely and accurately, based upon the terms of the individual agreement.
- Participates in internal and external audits.
- Follow SOX/internal control requirements related to payroll processing.
- Research & Documentation:
- Research and resolve complex payroll discrepancies and employee inquiries.
- Run and analyze payroll reports and metrics to ensure accuracy, timeliness, consistency, compliance and mitigation of errors.
- Identify recurring issues and recommend process improvements to enhance service quality and efficiency.
- Customer Service:
- Serves as the primary escalation point for complex payroll inquiries and discrepancies. Delivery of high-quality customer service is required for employees, HR, and leadership regarding payroll needs.
- Interpret and communicate payroll policies, procedures and legal requirements clearly and professionally.
- System Testing & Process Improvements:
- Assist with testing and validation of system upgrades, patches, acquisitions and integrations especially pertaining to payroll processing areas.
- Support process improvements and automation initiatives.
- Departmental Support:
- Mentorship support for new payroll team members.
- Support departmental needs during peak periods such as vacation, holiday and year-end support.
- Handles project responsibility areas and communicates project needs to leadership as needed.
Qualifications
- Education Level: Bachelor's Degree Major: Accounting, Finance, Business Administration, or Human Resource Degree must be from an accredited college or university.
- Bachelor's Degree from an accredited college or university. Preferred degree in Accounting, Finance, Business Administration, or Human Resources.
- Certifications and/or Licenses:
- FPC or CPP preferred but not required
- 5+ years of payroll experience, preferably in a multi-state or large company environment.

- The ability to properly handle sensitive and confidential information (including HIPAA and PHI) in accordance with federal and state laws and company policies
- Strong knowledge of payroll laws, regulations and compliance requirements.
- Excellent attention to detail, communication, organization, problem-solving and time-management skills. This position requires the ability to meet strict payroll deadlines.
- Experience with Oracle and UKG ProWorkforce Management.
- Proficiency in Excel skills such as Vlookup, Xlookup and PivotTables.
