Overview

How you can make a difference

The Applications Admin will lead the transition and ongoing administration of Monday.com as HealthEquity's consolidated project and program management tool for 600+ users, ensuring smooth migration from multiple legacy apps, owning governance, user access, and permissions, collaborating with IAM and security teams to set up best practices and manage integrations with other apps. You will develop and promote templates, processes, and best practices for diverse teams (marketing, implementations, etc.), driving adoption and effective use across the organization and provide expert support and deliver training to empower users, fostering a culture of learning and continuous improvement while being HealthEquity's Monday.com champion!

What you'll be doing

Platform Administration and Governance

    Serve as the primary administrator for Monday.com, managing user access, permissions, groups, workspaces, and license allocation.
  • Establish and maintain governance policies for workspace creation, naming conventions, automations, and integrations to ensure consistency and efficiency.
  • Configure and maintain automations, integrations, and templates to support team workflows and company-wide processes
  • Work with technical teams to integrate Monday.com with other enterprise tools (e.g., Jira, Slack, Salesforce, Power BI, etc.).
  • Monitor and manage workspace performance, usage metrics, and data integrity across all teams.
  • Partner with IT and Security to ensure compliance with data privacy, retention, and access control policies.
  • Conduct periodic system audits to identify inactive users, redundant boards, and unused automations.
  • Lead system implementation, updates, and optimization efforts.

Operational Support and Optimization

  • Provide Tier 1 and Tier 2 support for platform users, troubleshooting access, functionality, and workflow issues.
  • Develop and maintain standard templates, dashboards, automations, and reporting structures to support business processes.
  • Provide strategic guidance and recommendations for optimizing Monday.com usage across departments
  • Collaborate with cross-functional teams to identify and implement platform enhancements that improve adoption and productivity.

Training, Communication, and Change Management

  • Develop and deliver training sessions, quick reference guides, and office hours to build user confidence and platform adoption.
  • Develop and deliver training sessions, onboarding materials, and best practice guides for end users and team.
  • Communicate system updates, feature releases, and best practices to users in clear, accessible language.
  • Assist in developing metrics and KPIs that track platform engagement and efficiency improvements.

Continuous Improvement

  • Stay current on Monday.com product updates and recommend new features or configurations that support business goals..
  • Identify and recommend opportunities to enhance system automation, streamline processes, and reduce administrative burden.
  • Serve as liaison to Monday.com support and HealthEquity's internal IT team for escalations and system improvements.

What you will need to be successful

Education and Experience

  • 3+ years of experience administering Monday.com or similar project management / work management platforms (e.g., Asana, Smartsheet, Jira, ClickUp).
  • Strong understanding of user and group management, SSO, and SCIM provisioning.
  • Experience partnering with IT and Security teams on access control and system integrations.
  • Demonstrated ability to create and maintain governance and process documentation.
  • Proven track record of developing and implementing system best practices, templates, and scalable configurations.
  • Excellent communication and stakeholder management skills.
  • Monday.com Admin or Expert certification preferred (or willingness to obtain).

Specialized Knowledge, Skills, and Abilities

  • Strong understanding of Monday.com functionality, including dashboards, automations, integrations, and permission structures.
  • Ability to design scalable board structures and workflows aligned with enterprise governance standards.
  • Excellent organizational and problem-solving skills, with the ability to translate operational needs into system solutions.
  • Strong verbal and written communication skills, with a service-oriented approach to user support.
  • Familiarity with enterprise systems such as Microsoft 365, Salesforce, or Jira
  • Ability to work independently, prioritize multiple requests, and collaborate across departments.
  • Familiarity with IT governance principles, change control, and data security practices.

Certifications, Licenses, Registrations

  • Monday.com Administrator or Workflow Builder certification preferred (or willingness to complete within six months).

Salary Range

$70000.00 To $87000.00 / year
