Brief Summary of Work for this Position
The Administrative Assistant reports directly to the Office Manager and serves as the receptionist for the Career Center. This role provides administrative support to the team and plays a key part in ensuring smooth daily operations. This position is responsible for opening and closing the office, answering the main phone line, and managing the Career Center's email inbox. The Administrative Assistant is also responsible for processing daily financial transactions, including cash, checks, and credit card deposits. Additional duties involve managing student check-ins for scheduled appointments, overseeing both virtual and in-person drop-in hours, and handling pending student account requests. This position provides front-line customer service to students, alumni, parents, employers, faculty, staff, and the general public. The Administrative Assistant also supports internal operations by taking minutes during staff meetings and updating the Career Center's digital signage with relevant resources, upcoming events, and featured job opportunities.
Additional responsibilities:

  • Assist Office Manager with purchase orders, travel, catering, printing orders, room reservations, surplus property requests, AiM work orders, etc.
  • Schedule appointments for UNCW students and alumni
  • Manage Career Closet donations and inventory with support from student staff
  • Provide Handshake support to students, alumni, campus departments, and employers (navigation, troubleshooting, account setup, event registration, posting positions)
  • Maintain general office supplies
  • Assist with job and internship approvals in Handshake
  • Collaborate with the Office Manager to recruit, train, and develop front desk student workers

Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred education, professional skills and experience

  • Proficiency with Zoom and Microsoft 365 applications (Outlook, OneDrive, Word, Excel, PowerPoint, SharePoint, Teams, Forms)
  • Experience creating professional slideshows using PowerPoint or Canva
  • Experience developing procedures and proofreading documents for accuracy
  • Familiarity with UNCW systems such as Banner, uShop, Chrome River, Handshake, TouchNet, Surplus Property, and AiM
