This position will function at the front desk of Springfield Dental. Requires a mix of greeting patients, coordinating all dental appointments and maintaining accurate dental records. Handling dental insurance and dental payments and using effective communication skills to inquire and resolve issues. Incorporate technology for scheduling, telephone use and balance with personal interactions.

Examples of Duties

Patient Receiving and Registration 70% 1. Greet and communicate with patient 2. Answer and make phone calls 3. Schedule, cancel, reschedule appointments using electronic computer systems 4. Maintain accurate patient demographic information 5. Manage all patient appointments 6. Collect accurate patient insurance information 7. Collect and manage dental payments accurately 8. Understand and educate dental insurance/s and sliding fee scales to patients and providers 9. Assist patient with filling out required paperwork 10. Coordinate language services for interpretation, when needed 11. Serve as the liaison with dental staff 12. Inform patients of organization procedures and policies 13. Maintain office supplies 14. Prepare outgoing mail 15. Maintain patient confidentiality and HIPAA compliance Team Lead Duties 20% 1. Serves as lead and trainer for all front desk duties and responsibilities 2. Serves as a resource for scanning and indexing in dental charts 3. Coordinate front desk lunches and breaks 4. Serve as contact for front desk operations 5. Ensure front end of the day are balanced and batches are closed 6. Ensure each month end close is completed timely 7. Manage and coordinate housekeeping and office supply inventory Administrative 10% 1. Assist with elevating complaints timely to immediate super. 2. Enter patient complaints using the risk management application. 3. Assist with dental prior authorizations 4. Assist with management and processing of DCFS consents and scheduling 5. Maintain compliant and accurate time off and time worked entries

Qualifications

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER 1. Any one or any combination totaling two (2) years (24 months), from the categories below:
- College education with coursework in a medical or para-medical field such as nursing assistant, medical assistant, or medical secretary and/or business fields such as business, finance, computer science, public administration, or social science, as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate's Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Work experience comparable to that performed at the Medical Office Associate level or in other positions of comparable responsibility.
KNOWLEDGE, SKILLS AND ABILITIES (KSAs)
1. Knowledge of medical terminology.
2. Knowledge of medical records and operating procedures.
3. Knowledge of medical laboratory and x-ray, billing, and admissions procedures.
4. Knowledge of computer systems and clinic forms.
5. Knowledge of automated admissions and/or billing systems.
6. Skill in maintaining detailed records.
7. Skill in communicating effectively with patients and families from a wide variety of persons from different economic and cultural backgrounds.

CONDITION OF EMPLOYMENT Pursuant to the State Universities Civil Service System, an out-of-state resident who is hired into this position must establish Illinois residency within 180 calendar days of their start date.
