Brief Summary of Work for this Position |
The Administrative Associate performs business, fiscal, and administrative work in support of the
Disability Resource Center (DRC). The person in this position reviews, revises, and applies policies and procedures, uses information systems to process information, and oversees the day-to-day administrative operations of the Center, including scheduling, purchasing, and budget. This position also supports special projects for the
DRC leadership team. This position manages the office appropriate to the needs of the department.
Office Administration
- Administrative & Financial Support: Provide comprehensive support to the Director and DRC staff, manage office schedules, process payments, reconcile purchasing cards, and assist with budget monitoring and revisions.
- Procurement & Contract Management: Coordinate renewals and payments for software and service contracts (e.g., CART, ASL), manage standing orders, and handle urgent purchasing needs for accommodations.
- HR & Payroll Coordination: Oversee student and temporary staff hiring, onboarding, time reporting, payroll processing, and maintain accurate HR records.
- Scheduling & Event Support: Coordinate CART and ASL services for students and campus events, manage interpreter schedules, and process related paperwork and payments.
- Office Operations & Records Management: Maintain office supplies, submit work orders, manage equipment security, and ensure accurate recordkeeping in the DS database.
- Travel & Recruitment: Process travel requests and reimbursements, post vacancies, recruit student workers, and ensure timely and accurate EPAF submissions.
Reception
- Front Desk & Communication Support: Greet and check in students and visitors, answer and direct phone calls, manage department email and voicemail, and deliver/distribute mail.
- Customer Service & Confidentiality: Maintain a professional, respectful demeanor with a strong focus on customer service and confidentiality, especially when interacting with parents, faculty, and staff.
- Administrative & Documentation Tasks: Keep records of incoming documentation, upload to Accommodate, and maintain displays of printed materials and information.
- Team Engagement: Actively participate in department and division meetings, contributing to a cooperative and inclusive environment.

Minimum Education and Experience Requirements |
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work. |

- Experience with Banner Finance, ChromeRiver, UShop, and Microsoft Office.
