Purpose

The Grant and Administration Operations Coordinator will provide administrative and grant management and coordination to ensure the efficient operations of the Center for Energy and Environmental Systems Analysis (CEESA). This role involves managing administrative operations, accounts payable/receivable, procurement, HR tasks, travel arrangements, event support, inventory management, and comprehensive grant support. Note: Funding is expected to continue based on funding support.

Responsibilities
  • Grant Support: Oversee grant management lifecycle of the State of Texas Air Quality Research Program (AQRP), including, but not limited to: Request for Proposal preparation, proposal submission coordination and collection, coordinate meetings with Council Members, assist with drafting quarterly and annual AQRP reports, communicate deadlines to PIs, attend meetings with TCEQ Program Manager. Reconcile AQRP account monthly. Audit subaward Financial Status Reports. Generate monthly AQRP Financial Status Report. Assist with posting reports and AQRP website (Joomla). Coordinate and host technical and advisory committee meetings (remote) and in-person workshop. Oversee grant management of the CISTAR project, including, but not limited to: Annual budget and reporting generation in Coordination with Program Manager. Communicate balances, deadlines to PIs. Reconcile CISTAR accounts monthly. Coordinate Letter of Agreements to Co-PIs. Manage Industry Mentor program and meetings. Assist at CISTAR annual meetings hosted at UT Austin when needed. Other CISTAR duties as assigned. Ad hoc financial reporting, account reconciliation, balances reviews, transfer requests, on other grants in CEESA, as assigned. Assist Program Manager with pre- and post- award documentation and submissions in UTRMS as assigned.

  • Accounts Payable/Receivable, Procurement: Voucher lifecycle (receive/create, coordinate, complete, follow-up, archive) all accounts payable/receivable. Procurement through UT systems (PO, Procard, UT Market, UT Travel card, etc.)

  • Human Resources: Oversee research student appointment submissions on a semester basis to academic depts or CSE HR. Process Tuition/Scholarships/Fellowships vouchers. Update Student costing in Workday. Review HR reports from CSE HR and resolve any compliance issues. Oversee CEESA onboarding of new staff. Back-up for research staff and faculty assignments/costing.

  • Travel: Process RTAs, RTA amendments, and Travel reimbursements for CEESA personnel. Support CEESA personnel with travel matters as requested.

  • Events/Meetings: Assist with all facets of meeting/event preparation as assigned with Program Manager. CEESA events are held at UT Austin properties. Approximately 1-3 large in-person events per year that all CEESA staff attend as support. Various small meeting each year may require in-person attendance (all at UT Austin sites).

  • Inventory: Primary inventory contact CEESA inventory lifecycle.

  • Other Administrative Operations: Maintain CEESA research suite: coordinate facility requests, IT requests, furniture/supplies requests, copy machine upkeep, and other related office tasks. Back-ups for UT systems: OHS, Electronic Office Manager Delegate, WPR BACS contact back-up, DocuSign DUC back-up, UTList back-up. Professional Development: Attend Monthly UT Association of Research Administrators, HR Spectrum meetings (Remote). Attend at least one remote NSF or NCURA remote conferences/webinars of your choosing per year

  • Performs other related duties as assigned.

Required Qualifications
  • Bachelor's degree

  • Three (3) years of experience in the preparation, processing, and negotiation of research grant and contract proposals

  • Fluency with Microsoft Excel

  • Proficiency in the Microsoft suite of applications

Relevant education and experience may be substituted as appropriate

Preferred Qualifications
  • UT DEFINE/Mainframe experience

  • Experience with UTRMS, UT procurement, travel policies, UT accounts payable/receivable policies, UT Inventory policy and reporting, Workday, and other UT internal systems

  • Five (5) years of university administration experience, preferably at UT Austin

  • Two (2) years of grant administration at UT Austin

  • Pre- and post-award grant support at UT Austin or other public universities

Salary Range

$65,000 + depending on qualifications
