Genesys Engineering, P.C., a subsidiary of Willdan is seeking a proactive and detail-oriented Proposal and Business Development Coordinator to join our team. This newly created, full-time role will play a key part in expanding our presence in public and institutional markets by managing RFP/RFQ response processes, developing high-quality proposals, and fostering strategic connections. The position also involves close collaboration with other Willdan operating units, both in the New York City region and nationwide, to leverage shared resources, insights, and opportunities. Essential Duties and Responsibilities
- RFP/RFQ Identification and Management
- Monitor public agency procurement portals and platforms for new opportunities aligned with Genesys' engineering, commissioning, energy, and construction services.
- Track key deadlines, coordinate internal Go/No-Go reviews, and ensure all proposal tasks stay on schedule.
- Identify opportunities under existing term contracts and support task order development.
- Proposal Development
- Lead the preparation and submission of technical proposals, SOQs, and other submittals for competitive bids.
- Collaborate with engineers, project managers, and company leadership to craft project approaches, schedules, and technical content.
- Format and assemble final packages, including compliance forms, resumes, project experience, references, and cover letters.
- Marketing Material and Knowledge Base Management
- Maintain a library of proposal materials, including templates, project sheets, staff bios, and boilerplate content.
- Work with Willdan's corporate marketing team and other operating groups to ensure branding and messaging are consistent and high quality.
- Organize and modernize Genesys' archive of proposals and marketing materials for easy internal use.
- Industry Networking and Outreach
- Represent Genesys at NYC-area and regional industry events (e.g., ACEC, SMPS, NESEA, NYSERDA roundtables).
- Build and maintain relationships with agency procurement contacts, teaming partners, and other firms.
- Support teaming strategies by identifying partnership opportunities and maintaining relevant contacts.
- Cross-Group Collaboration and Knowledge Sharing
- Act as a liaison between Genesys and other Willdan operating units in the NYC region and across the country to identify synergies, share resources, and pursue joint opportunities.
- Collaborate with teams specializing in complementary disciplines-such as energy modeling, performance contracting, or technology deployment-to build multi-disciplinary proposals that reflect the full range of Willdan's capabilities.
- Participate in Willdan-Wide Knowledge Exchange by:
- Sharing market intelligence: Keep the broader team informed about agency priorities, funding trends, and competitor positioning in the NYC public-sector space.
- Coordinating RFP tracking tools: Maintain and contribute to shared databases, calendars, or CRM systems that log upcoming RFPs, deadlines, and leads, ensuring transparency and cross-team coordination.
- Exchanging best practices: Learn from and contribute to a growing library of proposal templates, technical write-ups, graphics, and formatting techniques that can be reused and improved firm-wide.
- This coordination will help Genesys align with Willdan's broader business development strategy, and position us to take advantage of national-level resources and insights that can increase local success rates.
Job Requirements / Qualifications
- Graduate degree in Energy, Environmental Policy, Urban Planning, Engineering, or related field preferred.
- 1-3 years of professional experience (internships, academic project work, or work-study in similar environments acceptable).
- Strong writing, editing, and verbal communication skills.
- Proficient with Microsoft Office Suite; experience with Adobe InDesign or Canva is a plus.
- Familiarity with public procurement in New York State or municipal environments a strong advantage.
- Highly organized and detail-oriented with the ability to manage concurrent deadlines.
- Collaborative and curious. Thrives in a team-oriented and entrepreneurial environment.
- Self-starter who can take ownership of projects and drive them forward with minimal oversight.
