HR Operations Specialist

Summary:

Reporting to the Manager, HR Service Delivery & Strategic Initiatives, the HR Operations Specialist is an intermediate-level position focused on managing HR processes and systems to improve efficiency and effectiveness. Responsibilities may include participating in audits/regulatory surveys, analyzing HR data, identifying and implementing HR system process improvements/enhancements, and recommending or providing feedback on HR policies and procedures.

Responsibilities:

Identify opportunities for process improvements in recordkeeping procedures, systems, and workflows and consults with manager and/or HR Strategic Initiatives (SI) Partner for review; supports the implementation of approved process improvements by documenting current state and future state, assisting with the development of training materials and other associated activities.

Participate in cross-functional projects or initiatives aimed at enhancing HR operations and services. 

Provide support for the preparation and execution of audits/regulatory surveys; may include organizing electronic files selected for review and/or producing or reviewing employee roster reports

Conduct periodic audits of employee records to verify accuracy, completeness, and compliance with policies and regulations; requests or runs reports necessary to audit employee records; identifies report enhancement and partners with HRIS or People Analytics to update reports as needed

Provide guidance and support to HR staff and managers on recordkeeping policies, procedures, and best practices. 

Support the employee records request process by responding to subpoenas and court orders. 

Maintain confidentiality and handle sensitive employee information with discretion.

Perform other duties as assigned.

EDUCATION:

Associate degree or equivalent experience/certifications required. 

EXPERIENCE:

Minimum of 2 years of related experience. 

Strong written and verbal communication skills.

Critical thinking skills.

Demonstrated understanding of HR policies and practices.

Attention to detail and highly organized.

Willingness to learn and grow professionally.

Demonstrated experience with Microsoft Office 365 applications.

Experience with HR information systems preferred.
