Responsibilities

Job Summary
The Front Office Supervisor is responsible for the supervision of office's operations and providing the optimum level of care. Assists with hiring and performance evaluations of staff and day-to-day operations. Supervises the office operations of the extended hours program. Serves as a mentor and resource to assist in meeting regulatory requirements. Provides cross coverage support for Practice Manager. Answers phone messages promptly. Assists staff in scheduling, pre-registration, deposit calculations, self-pay pricing and insurance verification. Serves as subject matter expert with current systems and processes within the department and interdepartmental. Specializes in and is completely familiar with any and all system applications by performing all tasks needed to meet department operation requirements and goals. Participates in identifying needs for process improvements and creating/enhancing processes. Maintains ongoing department training program in conjunction with leadership. Promotes positive teamwork within department and among employees. Provides cross coverage support for the manager/supervisor.
Essential Functions
  • Serves as an expert resource for department employees, as well as those outside the department, in regard to scheduling requirements, pre-registration, and insurance verification matters. Provides coordination and information to all disciplines and departments to ensure efficient and effective department workflow.
  • Tracks performance and provides feedback to the Manager on staff performance for evaluation purposes. Participates in monthly one-on-one meetings with staff to provide productivity measurements and feedback. Provides cross coverage/support for Practice Manager, including: responds to security/alarm calls. Responsible for resetting alarm. Processes and submits practice payroll in Manager's absence. Responsible for opening the safe in Manager's absence. Assists Manager in maintaining building security/access
  • Maintains all departmental and network policies, procedures and guidelines to ensure optimal execution of departmental tasks and achievement of goals. Assists in the development of new procedures and processes. Develops new policies and procedures as required. Participates in process improvement activities and implements process changes as directed by Supervisor. Supports Supervisor in other activities, as needed.
  • Proactively monitors scheduling activity to identify opportunities for increased resource utilization (room, staff, and time) and to ensure compliance with established scheduling policies, procedures and guidelines. May perform duties of both Scheduler and Sr Scheduler as needed.
  • Serves as subject matter expert for HIPAA, Federal regulations, state regulations, health system policies, departmental policies and reimbursement criteria. Attends/assists in leading departmental meetings and huddles in order to enhance communications within and between departments. Performs other duties as assigned.
Education
  • Associate's Degree in related healthcare field - Preferred
  • High School Diploma or GED - Required
Experience
  • 2 years in healthcare scheduling or other related experience - Required
  • 3 years healthcare scheduling, hospital registration, patient financial counseling, Medical Assistant experience OR - Preferred
  • 3 years of the minimum experience required - Preferred
