The Department of Electrical and Computer Engineering ranks among the best in the country. Our research programs are at the forefront of the technologies that have changed the world we live in. The ECE Department, part of the College of Engineering, is a large and diverse academic community, and includes global research and teaching efforts through extensions of our Pittsburgh academic programs and research in Silicon Valley, Portugal, Africa, and Thailand.

The Department of Electrical and Computer Engineering (ECE) at Carnegie Mellon University (CMU) has an opening for an Academic Services Coordinator at the Pittsburgh campus. We are looking for a dynamic individual to add to our team. In this role you will report to the Director of Advising & Academic Services and will serve as an integral member of the Academic Services Center team. You will provide complex administrative and programmatic support to several key academic areas and processes. The ECE Academic Services Center (ASC) is a fast-paced center serving one of the largest departments at CMU. We are a world-class academic and research department and institution, seeking a highly motivated and reliable individual who excels at multitasking. Core Responsibilities:

  • Scheduling:
    • Primary liaison and point of contact with faculty, team, and university stakeholders regarding ECE course scheduling.
    • Build the ECE Schedule of Classes each semester, with input from and collaboration with the Associate Department Heads and Director of Advising & Academic Services.
  • Waitlists
    • Set up course reservations for all ECE courses each semester.
    • Monitor and clear all waitlists on a rolling basis from the start of registration through the Add Deadline.
    • Communicate and field student questions via the dedicated waitlist email address
  • Teaching Assistants
    • Manage application and hiring process for all ECE Teaching Assistants.
    • Send timely TA hire information to the ECE Business Office and register/enter grades for
      doctoral students completing Teaching Internships.
    • Approve biweekly TA hours submissions.
    • Coordinate TA language certification and training processes.
    • Serve as primary point of contact for TA-related questions from students and faculty.
  • Additional support duties
    • Serve as a backup to other ASC team members and assist with office operations as needed.
    • Greet and engage with visitors in the ASC as needed.
    • Assist as needed with ECE Diploma Ceremony preparation and day-of logistics. Diploma ceremonies occur during Commencement weekend, the dates of which are published at the beginning of each academic year, usually occurring in mid-May.
    • Observe FERPA compliance.
    • Other related duties as assigned.

Qualifications:

  • Associates degree or equivalent combination of training and experience preferred
  • 5+ years of related experience with office administration and customer service processes or applications
  • Experience working across teams and supporting multiple functions and people
  • Proven working knowledge of office processes, and student/academic management systems and procedures preferred
  • Excellent interpersonal, analytical, organizational, reasoning, and problem-solving skills
  • Ability to interact effectively with a diverse faculty, staff, and student body
  • Excellent verbal and written communication skills
  • Strong knowledge of MS Office applications (Word, Excel, Power Point, and Outlook)
  • Proven ability to work effectively on a team that cultivates a versatile and collaborative professional environment.
