Pay Range Starting at $24.00

Job Objective:

As the Payroll Specialist you will ensure accurate processing and recording of The Salvation Army's payroll, providing timely and accurate financial information, participating in-biweekly data entry Payroll processing by reviewing, verifying accuracy of figures and computations. Balancing and reconciling accounts and importing employee's timecards into ADP via spreadsheets completed and approved by each corps location. In addition, responsible for various clerical tasks such as processing all personnel, payroll, hiring and benefit transactions by maintaining and recording the accumulation and use of vacation, sick, discretionary days, holidays and leave of absences, for all corps locations ...ensuring that the Mission of The Salvation Army is effectively carried out.

What You Will Do:



  • Responsible for processing and tracking transactions using ADP payroll system, including but not limited to bi-weekly payroll processing (seasonal weekly processing, final payments for separating employees and special transactions such as retroactive payments, bonuses and increases.
  • Responsible for payroll related systems and procedures, including but not limited to time reporting, paycheck distribution, year-end adjustments and record keeping
  • Responsible for maintaining personnel information, including but not limited to processing new hires, separations, transfers, rate changes and other transactions. Makes updates as necessary.
  • Provides administrative and office support as needed.
  • Researches and resolves questions from Corp Officers, Managers, and employees as they relate to the processing of payroll information such as vacation, personal, sick, discretionary, banking, garnishments, retroactive pay calculations, tax questions and other changes
  • Perform compliances for unclaimed property payroll checks
  • Process manual checks as requested
  • Process accurate and timely year-end reporting when necessary (W-2 Adjustments, etc.)
  • Reviews payroll documentation for accuracy through payroll reports and makes any necessary adjustments. Obtains necessary approvals.
  • Sorts and distributes DHQ payroll checks bi-weekly
  • Reviews computed wages and correct errors to ensure the accuracy of earnings
  • Ensure that all changes to payroll are processed correctly
  • Works closely with the Benefits Specialist to ensure accurate benefit deductions and record keeping
  • Prepare various payroll reports periodically and upon request and reconcile quarterly payroll taxes
  • Oversee and maintain MVR records for the Indiana Division, which include the annual MVR update for the Division
  • Responds to income and employment verification according to company guidelines
  • Maintain confidence and protect The Salvation Army by keeping information confidential
  • Calculating housing values for officers
  • Preparing 1099's
  • Perform all other duties as assigned within the scope and parameters of this job description.


Additional Functions



  • Cross train on all HR functions to provide coverage during peak periods or absences


Minimum Qualifications: The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.

Education: High School Diploma required, Associates Degree with emphasis on business or accounting preferred

Background Checks: Position requires a background check to be completed, and all background check results will be reviewed.

Experience: Two years of financial record keeping or payroll computerized payroll processing; Any combination equivalent to college level course work in human resources or related field with human resources experience; Some experience working with an outside payroll company and in an office environment

Certifications: Must have a valid driver's license and maintain The Salvation Army Driver's qualification standard; must complete Safe From Harm training within the first 90 days of employment.

Skills/Abilities:



  • Able to speak, write and understand English in a manner sufficient for effective communication with leadership, field personnel, and clientele
  • Computer proficiency with Microsoft products and ability to learn electronic reporting systems
  • Working knowledge of payroll best practices. Strong knowledge of federal and state regulations. Strong PC skills including proficiency in Microsoft word and excel. Ability to proficiently create and maintain spreadsheets. Working knowledge of standard office procedures and practices. Strong work ethic and team player. High degree of professionalism. Ability to communicate with various levels of management. Decision making, problem solving and analytical skills. Ability to adhere to tight deadlines. Organizational, multi-tasking and prioritizing skills. Interpersonal skills using tact, patience, and courtesy. Maturity to maintain confidentiality with sensitive information.
