The Manager of Service Coordination oversees the daily operations of the department responsible for centrally coordinating and scheduling diagnostic services for ED and admitted patients, ensuring safe, timely, and efficient patient flow. The Manager works closely with the hub command center, as well as clinical and operational leaders, to align coordination efforts with organizational goals, resolve bottlenecks, and support capacity management. Key responsibilities include staff management, performance oversight, continuous improvement, and ensuring compliance with standard operating procedures while driving service excellence.
  • Collaborates with clinical and operational leaders, support staff, and key departments to ensure timely patient progression, resolve testing bottlenecks, and optimize resource use across services.
  • Collaborates with MWHC Hub Command Center to align system-wide capacity needs.
  • Collaborates with senior leadership to communicate key operational activities, ensuring alignment between daily service coordination operations and broader organizational objectives.
  • Monitors and reports service coordination metrics, identifies service delivery barrier trends, and leads improvement initiatives to enhance patient flow and support organizational goals.
  • Oversees and optimizes diagnostic services coordination and Order Organizer activities via the electronic hospital operating system to ensure safe, efficient patient flow, applying prioritization strategies based on acuity, clinical needs, and resource capacity.
  • Develops and manages the department's operating plan and budget, ensuring efficient resource allocation and financial oversight. Monitors productivity and expenses to stay within budget.
  • Responsible for the recruitment, selection, orientation and retention of delegated staff. Develops and leads Associate orientation and ongoing training programs to equip staff with the knowledge and skills required to coordinate scheduling of diagnostic services.
  • Monitors and evaluates Order Organizers' performance, addressing gaps and providing coaching and professional development. Conducts Associate check-ins and comprehensive performance appraisals to ensure accountability in meeting operational and patient care expectations.
  • Coordinates and manages staffing and scheduling for the Order Organizers, ensuring 7-day a week coverage while optimizing labor resources with operational needs.
  • Investigates, addresses, and resolves patient and staff concerns, including complaints and operational challenges, ensuring high-quality service delivery and satisfaction.
  • Ensures service coordination activities comply with established policies and procedures, standards of care, regulatory requirements, budgetary parameters, and strategic objectives.
  • Represents the Service Coordination department in meetings and committees as required.
  • Maintains a working knowledge of service area testing processes, requirements, and patient preparedness requirements.
  • Performs other duties as assigned.

Qualifications:

  • Valid RN License from Virginia or reciprocal compact state required.
  • Bachelor's degree in Nursing (BSN) from an accredited nursing school required.
  • Minimum of 5 years acute care clinical experience required.
  • Strong organizational and quality management skills with ability to handle multiple, competing tasks and priorities required.
  • Experience with computer technology, specifically experience with Windows based programs, e-mail, and Microsoft Word required.
  • Experience with performance improvement methodology and tools preferred.
