Under administrative direction, the Program Assistant performs professional level duties that are devoted to maintaining department operations. These including supporting general administration, financial and grant transactions, faculties support, and event support.

Duties & Responsibilities:

  • Provide support to the Department Head, Faculty, Unit Directors, and the Director of Administrative Operations, serving as a staff advisor and performing professional support tasks such as assisting with budget functions, reporting, no-fund contracting, journal vouchers, purchasing, travel arrangements/reimbursements for faculty, fellows, residents, and staff.
  • Provide support for general office administration and programs, including mail, supplies, data entry, report processing, directories, deliveries, office maintenance/housekeeping, facilities management, office and conference room equipment, meeting arrangements, and calendars.
  • Manage the T-card and P-card usage for the unit, approve and monitor all allowable expenditures, reconciliation, resolve disputed transactions, and assure all charges are appropriate and within the university guidelines.
  • Coordinate department program contracts by providing support and work closely with Unit Directors and the Director of Administrative Operations on the development of contract budgets and contractual agreements, service agreements, and the compensation methodology for services rendered.
  • Assist with department faculties requests and renovation projects. Function as essential personnel on campus during reduced service periods.
  • Assist the grant programs and contracts coordinator with faculty members and principal investigators in the preparation of and submission of research proposals to sponsoring agencies, including the formulation of grant/contract budgets.
  • Coordinate and assist on events hosted by the Department of Pharmacy Practice including set-up and clean-up.
  • Perform other related duties and participate in special projects as assigned.
