Responsibilities

This non-exempt position is full-time, Monday - Friday, 9:00 am-5:00 pm, and operates from Stamford, CT. This hybrid position requires two days per week in the office. The position doesn't require domestic or international travel, but in peak student advising / enrollment season some travel may be requested. Some nights and weekends could be required based on seasonal business needs/position requirements. We are looking to hire two people for this position.

The Global Program Advisor plays a critical role in ensuring programs are delivered to the highest of quality and ensures participants are correctly advised of options for their programs ensuring a high program retention. Program Advisors work one-on-one with enrolled interns in all aspects of the pre-departure preparation, including, but not limited to internship placement process, visa management (location/program dependent), and documentation compliance. This position is all about customer service ensuring that questions (via phone, email, chat or through colleagues) are answered timely and accurately.

PRIMARY DUTIES & RESPONSIBILITIES



  • Advising (90%)
  • Facilitate and manage internship onboarding, which includes a welcome call, managing the intern portal, and gathering the required documentation
  • Edit and approve intern cover letters, resumes, and portfolios in the online portal and update regularly to maintain current information
  • Provide guidance throughout the interview process, liaise with employers and interns to schedule interviews, and confirm internship placement
  • Manage visa processing for each location for the assigned location portfolio by collecting and tracking proper documentation and communicating with visa processing organization to ensure the program start date (if applicable)
  • Ensure timely and accurate updates to programs are made in SalesLogix or other CRM
  • Communicate with interns, parents, and university advisors to manage intern expectations, clarify the placement process and collect pre-departure and post-program survey results
  • Ensure participants are registered with travel and medical insurance before departure
  • Update and host the pre-departure webinar
  • Ensure all pre-departure items are submitted prior to the program start date
  • Develop travel, housing, and career resources
  • Manage the online intern portal that guides the pre-departure and internship experience
  • Update program dates, AIFS virtual courses, flights, registrations in optional program add-ons (courses, travel package and excursions) and build custom programs in SLX
  • Assist with program operations (parent webinar, scholarship review and notification) as needed
  • Build, create, and update placement details to confirm placement
  • Monitor the AIFS Abroad Website with an eye for improvements and edits
  • Monitor emails sent to the aifsinternships@aifs.com inbox
  • Coordinate with overseas teams and housing providers to confirm housing roster and room assignments
  • Emergency Phone Duty
  • Other Duties as Assigned



Cross Team Activities (10%)



  • Liaise with university relations team members and university partners to address internship program delivery or student issues as needed
  • Be advised by on-site staff when issues arise, communicate to the University Relations team when issues arise, and if needed, liaise with the on-site staff towards resolution
  • Work with colleagues from study abroad to share best practices in SLX, team efficiencies, templates and timelines
  • Support the broad work of AIFS Abroad as we continue to develop initiatives under our 4 Pillars: Career Readiness, Academic Excellence, Sustainability, and Cultural Engagement
  • Participate in Program Operations Working Groups to generate overall process improvements such as Pre-departure, IT or Communication


Qualifications

Job Requirements



  • Bachelor's degree
  • 2+ years' experience with customer relationships
  • 1-2 years' experience utilizing CRM
  • Experience living, studying, and/or working abroad
  • Diverse communication skills; ability to communicate with a wide range of stakeholders
  • Experience advising students in career development
  • High level of comfort with computers, digital media, working with web-based systems (HubSpot, SalesLogix)
  • Experience managing and maintaining international business relationships
  • Ideal candidates will have second language skills: French, Spanish, or Italian



A successful candidate for this position will have the ability to multitask, instinctually perceives red flags, stay calm under pressure, resourceful, and have a willingness to learn and to think outside the box. The candidate should be able to handle large quantities of information at once and hold themselves to the highest quality of customer service. It is essential to see through the lens of a current college student, an international employer, and overseas staff, all while working in a fast-paced and constantly changing environment.
