Staff Assistant

Department of Finance

Payroll Systems and Operations

Number of Positions: 1

(Additional vacancies possible pending budget approval)

Starting Salary: $66,612.00 annually

This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under direction, assists in the performance of specialized administrative support duties, and develops and implements management methods to improve organizational performance, and performs related duties as required.

ESSENTIAL DUTIES

* Reviews and analyzes departmental policies and procedures such as recording keeping methods, personnel requirements and performance standards, in order to increase operating efficiency.

* Develops, implements and monitors departmental policies and procedures.

* Coordinates and provides administrative support in departmental operations.

* Distributes payroll checks and documents to City wide departments.

* Maintains and verifies employee direct deposit entries and returns, to bank.

* Prepares payroll vouchers for payment to vendors.

* Transmits Payroll Direct deposit payment to bank.

* Prepares Payroll NACHA Direct Deposit memo for approval.

* Develops plans for long term organizational goals.

* Plans and coordinates management activities to ensure the efficient operation of the executive office.

* Communicates critical payroll matters to appropriate departmental staff.

* Acts as liaison for management at meetings, committees, and field assignments as needed.

* Prepares reports and correspondence on departmental operations.

Additional duties may be required for this position.

Location: 121 N. LaSalle St., Chicago, IL 60602

Days: Monday through Friday

Hours: 8:30 AM to 4:30 PM

THIS POSITION IS IN THE CAREER SERVICE

Qualifications

Graduation from an accredited college or university with a bachelor's degree in business administration, public administration or a related field, supplemented by one year of administrative experience, or an equivalent combination of training and experience.

Preference will be given to candidates possessing the following:

* Experience with payroll processing

* Knowledge of payroll regulations

* Proficiency using Microsoft Word and Microsoft Excel

SELECTION REQUIREMENTS

This position requires applicants to successfully complete an interview which will include a written exercise and/or skills assessment as part of the interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview will be selected.
