About This Role
The College of Agriculture at Kansas State University seeks a detail-oriented Office Specialist V. This position provides programmatic and general administrative support to the Office of the Dean/Director College of Agriculture (CoA), K-State Research & Extension, (KSRE). Specifically, the position provides administrative support for the Dean/Director and the Associate Dean of Research. This position will provide program/project management support. Duties/Responsibilities:
- Provides direct administrative support to the Dean/Director College of Agriculture (CoA), K-State Research & Extension, (KSRE). Specifically, the position provides administrative support for the Dean/Director, Associate Dean of Research, Associate Dean of International Programs, and the Executive Director, Ag/KSRE Administration and Finance.
- Coordinate and manage daily executive-level schedules for the Dean's Administrative Team.
- Responsible for coordinating all domestic and international travel plans for the Dean/Dir, Associate/Assistant Deans, and Associate Director including assistance with passports and VISAs as well as all transportation and lodging arrangements. Also responsible for completing all travel reimbursement documents.
- Coordinate all football game Skybox events with K-State Foundation representatives for the College's major and/or prospective donors. Responsible for obtaining a list of attendees from the Foundation, sending invitations, managing replies/confirmations, making name tags, securing tickets/passes, and ordering supplies and food.
- Assure deadlines and recurring tasks assigned to the Administrative Team are completed on schedule.
- Recognize, maintain, and protect confidential files and protect the privacy of personal or confidential information that may be retained in the office.
- Ensure a high degree of confidentiality in all matters regarding written reports, electronic communication, and telephone conversations and interact professionally with internal and external constituents.
- Assist in the coordination of the administrative process for promotion and tenure, mid-tenure, professorial awards, personnel evaluations, sabbatical leaves, retirements, adjunct faculty, and emeritus requests
- Assist with all unclassified contract renewals within the College of Agriculture/KSRE by maintaining the employee-contract database, coordinating rosters with departments, and collating that information in order to produce over 500 contracts. File and retain all signed electronic copies of the contracts. Issue revised contracts.
- Maintain documentation/records and issue annual contracts.
- Assist in the planning and implementation of internal and external communications strategies.
- Draft and edit publications and other communications.
- Prepare and maintain presentations, reports, calendars, and media contact lists.

What You'll Need to Succeed
Minimum Qualifications:
- Requires four years of relevant experience.
Preferred Qualifications:
- Bachelor's degree
- Ability to communicate effectively, both orally and in writing
- Ability to maintain effective working relationships with external stakeholders, government officials, university administrators, faculty, and staff
- Attention to detail
- Ability to successfully plan meetings and events for internal and external stakeholders
- Experience in assisting with communications strategies and implementation
- Proven ability to work effectively independently and in groups
- Demonstrated ability to use Microsoft Suite

Anticipated Hiring Pay Range
$21.15 - $28.84
