Job Summary

As the Operations Assistant you will play a vital role in the office by handling complex administrative tasks, providing administrative support to senior management, assisting with the support and maintenance of data management systems, and assisting with special projects and programs.
In this role you will coordinate accounting, finance, and procurement transactions for the department, including managing payment of invoices, preparing and receiving requisitions, and serving as the procurement card administrator for the department. As the Operations Assistant you will also coordinate human resources functions including handling the onboarding of new permanent employees and ensuring appointed election officers complete all legally required paperwork to serve. The person in this position will also manage office and senior management calendars, assist with the creation of meeting agendas and packets, handle travel arrangements, and assist with confidential correspondence and communication in support of senior department management. Additionally, you will assist with the coordination of Freedom of Information Act (FOIA) requests, assist with support and maintenance of data management systems, and manage special projects as needed.
The ideal candidate will possess a strong desire to serve the public, have excellent customer service skills, be detail oriented and thorough, have experience dealing with sensitive and confidential information, be able to communicate effectively with a wide range of constituencies verbally and in writing, and be able to function in a fast-paced and sometimes rapidly changing environment.
Hiring salary is commensurate with experience.

Minimum Qualifications

High School diploma or equivalent; and four (4) years of related clerical/administrative work experience; or a combination of education and experience are required.
Experience with the Microsoft Office Suite, specifically Word, Excel and PowerPoint, is required. The chosen candidate must be a United States Citizen, and resident of and registered voter in the Commonwealth of Virginia. Preference will be given to candidates with experience with Oracle accounting software, Airtable database management software, and NEOGOV human resources management system. Experience with elections or voting, specifically in Virginia, is also preferred.

Job Contingencies and Special Requirements

Criminal and credit background checks are required. All staff in the Office of Elections are required to work overtime around elections and this will include evenings, weekends, and holidays as needed.
