This position provides the operational foundation for the Center for Entrepreneurial Innovation, an award-winning business incubator program. Our Program Analyst leads the financial management side of our industry-serving programs, managing our procurement processes, program budgets and supervising our customer service positions. The ideal candidate will be detail-oriented, have a familiarity with online purchasing systems, and enjoys working in a fast-paced entrepreneurial environment. Essential Functions 30% - Responsible for financial management of CEI program including: Monitoring project, grant and operational budgets; Coordinating purchasing and payroll through the institutions financial management (FMS) and human resources (HCM) systems. Tracking, invoicing and reporting on program revenue. Responsible for managing new and existing vendor contracts in the CLM system. Investigates and recommends process improvements to streamline CEI business operations. 30% Maintains CEI program records and documents. Assists CEI leadership to organize documents and records in both digital and print-based archives. Provides program reports for leadership team and college reporting requirements. Ensures compliance with District policies, procedures and standards. 30% Plans, organizes and assigns the work of part-time customer support staff, including student workers and interns. Participates in the recruitment and hiring of these workers reviews and evaluates the work of assigned staff. 10% Supports customer service delivery to CEI tenants and clients by responding to inquiries, evaluates issues, researches alternative solutions and makes recommendations. Manages CEI's submission of help desk tickets for IT and facilities issues and ensures delivery of needed support and services; other duties as assigned Minimum Qualifications Bachelor's Degree from a regionally accredited institution in education, business or public administration, or directly related field and two (2) years of related program management experience preferably in an educational setting. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications A. Experience in financial management in an educational or non-profit setting that includes budget oversight, procurement and purchasing, contract management and reporting. B. Experience in maintaining program records and documents, including confidential information, in both digital and print formats. Monitors and ensures records are maintained in compliance with policies, procedures and standards. C. Experience in delivering customer service in a professional business setting to ensure professional level of service is provided both directly and/or through the supervision of customer service staff. D. Experience with online financial management and human resource systems, in particular, with the college's FMS, HCM, and CLM management systems. Special Working Conditions
