DESCRIPTION OF WORK

The role of the Commercial Motor Vehicle (CMV) Apportion Unit, Clerical Assistant 3 Customer Service Representative is centered around the examination and processing of title and registration applications for a diverse range of commercial motor vehicles. This position involves handling applications and inquiries received through multiple channels, including traditional mail via USPS, the Messenger Unit, legislative offices, fax, the customer service area, and various electronic platforms such as notepads, the CMV mail queue, and Outlook. Daily responsibilities encompass a broad spectrum of commercial motor vehicle transactions, such as titling trucks, tractors, and charter buses, as well as suspending or restoring records, issuing registrations, and fulfilling requests for duplicate credentials. The Clerical Assistant 3 is tasked with reviewing and addressing customer inquiries through telephone, in-person interactions, or written correspondence. Regular duties also include working at the customer service counter, managing a cash drawer, and ensuring the accurate submission of collected funds. This role carries the responsibility for all unaccounted funds, which includes cash, credits, debits, and electronic records, requiring meticulous attention to detail. The Clerical Assistant 3 is expected to deliver exceptional customer service and professionalism while investigating and resolving inquiries or discrepancies, demonstrating the ability to make independent decisions with minimal supervisory guidance. Additionally, this position necessitates interaction with or reference to information from various regulatory bodies, including the Public Utility Commission (PUC), the Department of Revenue - IFTA, the Motor Vehicle Code, the Federal Motor Carrier Safety Administration (FMCSA), the Internal Revenue Service (IRS) regarding HVUT (2290), and the International Registration Plan (IRP) to ensure compliance with established policies and procedures. The Clerical Assistant 3 is anticipated to perform their duties at a level that aligns with the demands of the Unit's workload, and may occasionally be called upon to assist with application processing for the PA Fleet Unit.

Work Schedule and Additional Information:

  • Full-time employment, 80 hours bi-weekly.
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with 60-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • You must be able to perform essential job functions.
