Duties include research and data analysis; assisting in the coordination and completion of projects and initiatives; and liaising with stakeholders District-wide to support implementation of projects. Essential Functions 45% - Provides high level administrative support to the AVC for Faculty Affairs, as well as the Office of the Provost. Primarily responsible for planning, organizing, coordinating, or overseeing a variety of moderately complex and varied general and administrative office support functions that are essential to the work of assigned academic leaders. This work includes but is not limited to: creation of requisitions, supporting committee and task force operations, reviewing and analyzing budget, and creating and tracking faculty pay. 30% - Performs basic research and preliminary analysis related to program and project assignment. Gathers pertinent information and compiles, analyzes and summarizes data and information related to assigned programs. Provides basic coordination and oversight of assigned programs; responds to inquiries and solves problems in accordance with policies and procedures. Assists with the development and implementation of program guidelines, forms, policies and procedures . Creates original correspondence, reports, presentations, documents and program materials. Organizes, updates and maintains program records, files, manuals and/or documentation. 15% - Provides basic program information to faculty, staff and the public; provides troubleshooting support to resolve issues. Prepares, processes and/or reconciles transactions, forms, faculty pay, and/or paperwork. Serves as a program liaison providing process and procedural coordination and support. 10% - Assists with other administrative, data, and support activities; performs other related duties as assigned. Minimum Qualifications Bachelor's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one (1) year of experience in researching information, gathering data, performing preliminary analysis and preparing reports. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications 1. Experience working in a post-secondary institution 2. Experience working in a collaborative team environment and establishing cooperative working relationships 3. Experience obtaining direction from multiple directors/managers/coordinators 4. Demonstrated experience with online systems, i.e. Google Suite, Student Information System (SIS), Oracle PeopleSoft Financial Management System (FMS), Tableau, and Human Capital Management (HCM) 5. Experience reviewing and analyzing expense and budget 6. Experience in coordination and support of multiple programs and projects Special Working Conditions May be required to travel to multiple sites or locations. May be required to work evenings and weekends. May be required to lift or carry up to 25lbs. May be required to sit for a prolonged period of time; viewing a computer monitor. Position works regularly on-site and some limited remote work options may be available.
