Practice Assistant II, Neurology, Onsite

Performs both administrative and clinical functions to support providers and to enable smooth and efficient working of practice operations under minimal supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits including scheduling, check-in, check-out duties.

  • High School Diploma or equivalent required.
  • Office experience of 2-3 years is required.
  • Proficiency with all Office Suites.
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing, and faxing.
  • Ability to use phone system, manage more non-routine phone calls, and solve routine issues as appropriate.
  • Effective communication in writing as appropriate for the needs of the audience and talking to others to convey information effectively
  • Understanding written sentences and paragraphs in work-related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos, and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well-organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Highly proficient in all communication skills (phone, verbal, and written). Ability to handle sensitive information and situations with poise and professionalism.
  • Strong organizational, coordination, and judgment skills. Ability to prioritize effectively. Ability to manage multiple tasks effectively, following established protocols, and work within systems.
  • Advanced computer skills. Ability to use all applicable applications at the highest competency level.
  • Ability to problem solve and troubleshoot. Ability to analyze a situation and determine the best course of action within established guidelines.
  • Understanding of the appropriate use and importance of related forms.
  • Advanced understanding and use of medical terminology.
  • Advanced comprehension of insurance types and referral process
  • Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.

Responsibilities:

  • Schedule patient appointments and maintain appointment records. Ensure provider schedules are filled and conduct appointment reminder calls.
  • Call for patient medical records and laboratory test results.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • May be required to accept co-payments.
  • Manage inbasket messages in Epic and Pool messages
  • -Handles, screens, and/or takes messages related to prior authorizations.
  • Address provider questions, prescription refills, and test results.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • File materials in patient folders and print appointment schedules.
  • Type forms, patient letters, schedules, memos, etc., as directed.
  • Assign incoming faxes and work on faxes relevant to the providers and department assigned to this role.
  • Bring mail, open and distribute unit mail
  • Acts as "Super User" for scheduling, registration, and billing systems.
  • Provide assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e., scheduling, schedule changes/blocking) ata more advanced competency level.
  • Assist with orientation and training for new and current staff.
