Position Highlights The Office of the Registrar is recruiting an entry-level professional staff member to provide excellent service for students, faculty, staff, and the public. The Academic Records Specialist will contribute as a member of the Room & Course Scheduling Team. The Office of the Registrar is responsible for the accuracy and integrity of the academic record. Serving all students, faculty, academic units, and student support functions; the Office is charged with the implementation of academic and student policies and their alignment to state and federal regulations and accreditation
standards. The Office strives to be a leader and thought partner in creating efficient processes that are designed in a way that supports student success and service excellence.

Duties & Responsibilities
  • Following established policy, process Schedule of Classes and Event Request forms in different software systems (Ad Astra and PeopleSoft/UAccess).
  • Run various reports and make data entry corrections as necessary to ensure the Schedule of Classes is accurate and compliant.
  • Communicate and partner with department schedulers to identify corrections needed in the Schedule of Classes to align with compliance standards.
  • Assist in training academic departments in the creation of the Schedule of Classes.
  • Assist in customer service support of the Centrally Scheduled Classrooms (ensuring properly configured layout and addressing furniture, cleanliness, heating& cooling issues, etc.).
  • Assist in resolving issues and answering questions sent to the office through a variety of methods.
  • Answer phones and chats and assist student workers with answering questions as needed.
  • Assist in interviewing and training student workers.
  • Assist in processing event requests and invoicing for events.
  • Assist in creating and updating technical and non-technical documentation for internal and external purposes.
  • Use knowledge of University of Arizona and Office of the Registrar websites and policies to support students, faculty, staff, and the public.
  • Use and update department Business Process Guides.
  • Additional duties may be assigned.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 3 years of relevant experience required.

As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
