Corporate Conference/Meeting Coordinator

13-month contract

Remote: 40 hour a week,

Seeking EST/CST candidates

Must attend week-long conference in New Orleans

Our client holds their high-profile, marquee event every September for their enterprise level clients. Companies from around the globe attend in-person and virtually, which is why it's crucial that it goes off without a hitch. To successfully launch this event, we are seeking a Corporate Event Planner/Coordinator to assist the Senior Program Manager with a variety of deliverables to ensure a successful conference. If you are an experienced Corporate Meeting and Event Planner, who loves nothing more than managing and executing tasks associated with every aspect of an event, this is the role for you!

Responsibilities:





  • Assist with project management and logistics for global hybrid marquee client event, including session and speaker coordination, internal attendee management, housing arrangements, internal communications, food & beverage planning, staff training, and delivering unique client experiences.



  • Work with the Program Manager to execute project processes and documentation, ensuring alignment with the overall event planning timeline. Responsibilities include streamlining cross-functional collaboration, reporting, post-event follow-up, budget management, invoice tracking, meeting management, and event documentation.



  • Partner with cross-functional teams, vendors, external stakeholders, and on-site staff to ensure seamless event execution before and during the event.



  • Collaborate with core planning teams to gather updates and deliver them to the overall project management team, ensuring accurate and aligned planning documents and effective communication with leadership.



  • Lead cross-functional meetings with partners across the business, serving as a subject matter expert on the responsible event program workstream.



  • Enforce event sustainability practices, track progress, and measure environmental and social impact to ensure responsible event execution.



  • Analyze and report event results, performance metrics, and trends to identify challenges, opportunities, and recommend programming enhancements.



  • Identify opportunities for driving scale and efficiencies throughout the events program.



  • Opportunity to execute additional corporate event experiences throughout the year.



  • Research industry best practices and audience behaviors to provide insights on branded experiences, activations, and marketing channels for outreach, acquisition, engagement, and attendee experience.





Requirements:


  • 5+ years' experience supporting cross-functional experiential marketing programs at a global scale.



  • Proven experience creating innovative, brand-focused activations and delivering impactful experiences.



  • Experience driving alignment with large cross-functional teams and agency partners.



  • Key skills should include budget management, ability to scale projects, strong analytical abilities, and a keen attention to detail. Must take initiative in identifying areas for improvement and driving solutions, with experience presenting findings to diverse partners, including senior management.



  • Highly skilled in managing multiple projects simultaneously, with excellent time management abilities to prioritize tasks, resolve issues efficiently, meet tight deadlines, and maintain budgetary control.



  • Proven experience collaborating with C-suite executives and other senior leadership, to drive strategic initiatives, influence decision-making, and ensure alignment with organizational goals.



  • Demonstrates the expertise to solve a wide variety of problems through a solid understanding of current business trends - able to make data-driven decisions based on both qualitative feedback and quantitative metrics.



  • Strong verbal and written communication skills.



  • Adaptable to ambiguity, new tools, processes, and a fast-changing matrixed business environment.



  • Highly proficient in Google Workspace and Apple applications, with a proven ability to quickly adapt to new software and technologies. Additionally, bring strong expertise in AI tools and digital event management platforms, enhancing productivity and innovation.



  • CMP, CSEP, CMM, DES, PMP certification(s) are plus

  • Week of show: September 6-12, 2025
