JOB SUMMARY

Works under general supervision to Logistics Manager. This position has the responsibility and authority to provide a professional level of support to internal and external customers with repair requests and status inquiries. Must possess a basic knowledge of hospital equipment and of the policies/procedures involved with the repair or replacement of equipment returned for repair. Responsible for interfacing with customers, hospital staff, vendors, and Biomed department technicians to handle a variety of issues relating specifically to the repair or maintenance of clinical assets/hospital equipment maintained and used by healthcare providers for patient care. This function is accomplished in a team-oriented environment where independent decision making, and minimal supervision are the norm. Must possess a high level of communication and customer service skill, encompassed with the passion to help others and resolve issues. This position requires results-oriented focus and attention to detail with the ability to multi-task and a readiness to adapt to changing department needs.

EXPERIENCE AND EDUCATION

  • High School Diploma or GED and
  • Experience

  • 2 years relevant experience in customer service/support of medical equipment repair. and

    Knowledge of various medical devices and
Preferred
  • Education

  • Associate's Degree
  • Experience

  • Knowledge of Supply Chain functionality and

    Experience with Purchasing platforms (PeopleSoft, Jaggaer, eProcurement, ERP systems) and

    Experience with work order applications (Service Now, Nuvolo, AIMS)

JOB DUTIES
  • Assists and coordinates with internal and external customers, to include frequent contacts with Hospital Purchasing, BioMed Department, Vendors, and Hospital Nursing Staff. Communication will be made via telephone or e-mail with repair inquiries, order placement, status updates and follow-up communications. Creates, assigns, and tracks status of work orders for general repair or preventive maintenance to clinical assets/hospital equipment. Communicates directly with vendors to verify part numbers, prices, and quote requests. Submits requisitions, tracks purchase orders and status of procured parts and/or equipment needed to repair clinical assets/hospital equipment. Tracks status of pending repairs with regulatory communication with BioMed Technicians. Redirect calls and/or information as required to other internal departments such as Information Recourses, Materials Management Customer Service and Value Analysis.
  • Requires basic knowledge of hospital equipment to include maintenance requirements, Biomed functions, customer service, work order distribution, and/or service repair policies and procedures.
  • Provide support to ensure timely return of repaired equipment to provide nursing staff adequate inventory levels for adequate usage ability of equipment for patient care.
  • Prepare service/maintenance repair history reports as requested.
  • General understanding of business operations related to sales and inventory management processes.
  • Create and track requisitions, purchase orders, and order status in the hospital procurement system.
  • Ability to tactfully communicate with Hospital Staff requesting service to include handling emergency situations in a positive, flexible and professional manner.
  • Coordinates with Biomed technicians with pickup and delivery of clinical assets/hospital equipment requested or scheduled for repair/preventative maintenance, lead times, and parts inventory availability on hand.
  • Keep accurate records to ensure accountability of asset repair/completed status for timely return of all equipment.
  • All duties and activities must be performed in compliance with environmental, health and safety related site rules, hospital policies, governmental regulations, and JACHO standards.
  • Performs other duties as assigned.
