Customer Service Specialist at Parker Hannifin provides inside sales support to our direct and distributor accounts, including inter-company accounts. Specific support activities include expediting orders, providing delivery dates, entering purchase orders, releasing existing orders and responding to customer inquiries. Our CS Specialists work independently while maintain daily interface with Accounting, Pricing Manager, Procurement, Shipping, Field Service, Applications and Production Team Leads to ensure customer needs are known and met with highest quality.
- Service direct and/or distributor customer accounts primarily through email, telephone, Extranet, Electronic Data Interchange (EDI), and fax.
- Processes new orders and repair or exchange orders using computerized systems.
- Perform thorough contract review in accordance with division guidelines
- Expedite orders through coordination with production, warehouse, quality, applications engineering and other internal departments.
- Interfaces with field sales force and distribution network to advise them of policy, pricing, procedure and provides product availability, credit and warranty status.
- Serves as primary customer contact. Receives orders and responds to customer inquiries, complaints and claims for credit. Expected to have extensive knowledge of account requirements and special situations, and to take prompt action to resolve problems to the customer's satisfaction.
- Handles exceptions, product allocations and other special problems. (May require some technical knowledge about products and applications.)
- Provide delivery dates and quotation requests for pricing, works with Pricing team as needed.
- Obtain and forward customer shipping information.
- Respond to and resolve customer inquiries, claims or complaints.
- Confers with engineering department to ascertain product application information.
- Confers with production and warehouse personnel to determine product availability, cost, and production lead- time requirements, when necessary.
- Work in high performance team environment to collectively meet team goals
- Other duties as defined by organizational priorities and standards to drive exceptional customer service
- Three or more years of experience in customer-facing role or working with people, managing telephone coverage, and operating office equipment, including computers and photocopiers
- Bachelor's or Associates degree is desirable.
- Must demonstrate excellent communication skills (professional, cordial, diplomatic) and to work effectively with diverse internal and external customers and suppliers
- Proficiency in Microsoft Office required
- Advanced knowledge of Microsoft Excel and Microsoft Access desirable
- Ability to learn and function with multiple mainframe software platforms
