Central Washington University is recruiting a Membership Services Coordinator to join our University Recreation Administration team in Ellensburg, Washington. The Role:

The Member Services Coordinator is responsible for the development and administration of membership services in serving the needs of the campus community and in coordinating the marketing efforts of University Recreation. This position is directly responsible for the oversight of recreation services that include membership and marketing coordination. This individual will supervise students and part-time temporary/hourly staff in the areas of recreation operations. Specific program responsibilities include program and staff management, development and oversight of operating budgets, development, monitoring and enforcement of program policies and procedures, and administration of revenue collection. All employees are expected to support CWU's commitment to diversity and to bring and support inclusion into the university environment.

Job Duties

Membership and Reservations:
- Primary supervisor and administrator of Membership Services, Access Control, Equipment Checkout, and point of sale. Functions include maintaining the membership database, process new enrollments, renewals and cancellations.
- Provide high-level customer service and resolution of student/member questions, complaints, problems, and refunds.
- Oversees point of sale transactions, cash handling, event registration, assessment reports, inventory management, and the distribution of information to key staff.
- Assist with budget analysis and management of all expenditures and revenue, including payroll and equipment acquisition. Make effective programming decisions based on an informed fiscal understanding.
- Manage inventory related to purchasing, locker management, and member correspondence. This is to include all rental pieces, lockers, and pro shop items.
- Manage the packaging and/or selling of membership programs, including customized membership program plans, coordinate marketing, sales, and service activities.
- Develop and implement tools to measure Rec member satisfaction and generate routine satisfaction reports.
- Develop and implement membership drives and initiatives throughout the year.
- Make regular presentations about Rec membership opportunities to key campus constituency groups. Reach out and engage new user groups.
- Collaborate with Conference Scheduling to provide membership options and schedule facility use for visiting groups.

Marketing Coordination:
- Assists in the development of a comprehensive package of promotional, communications and marketing efforts.
- Defines target markets. Assists in conducting assessments and research regarding programming and service needs.
- Encourages participant use of social media to bring awareness to recreation and wellness programs.
- Develop a consistent brand image for department that is innovative, dynamic, and reflective of University Recreation in all design pieces and attractive to disparate stakeholder groups.
- Oversee the writing, editing, design, layout, production, and distribution of marketing material.
- Proofread all digital proofs and artwork
- Seek knowledge and training of emerging technologies as it relates to marketing.

Supervisor Duties:
- Actively engages in recruitment, hiring, and training of new employees.
- Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. Conducts formal performance evaluations.
- Ensures employees have necessary resources.
- Oversees and directs the work of staff; serves as mentor, coach and leader, and resolves complaints or issues.
- Promotes professional development opportunities.
- Develops and fosters supportive working relationships, motivation and engagement.
- Communicates information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community.
- Takes corrective action in a timely manner.

- Schedules employee work hours/shifts; monitor hours worked; approve payable time and absence requests.
- Adjusts leadership style as needed to achieve results.

- Mentors and guides staff in achieving University Recreation's goals. Creates professional development opportunities for staff. Sets and models professional standards and expectations.

Involvement and Communication:
- Provide feedback regarding departmental programs, equipment, and operations by conducting daily observations/engaging in programs and using equipment/facilities.
- Reports and resolves safety concerns with functional area supervisors as needed.
- Is active professionally through research, publications, presentations and involvement in professional associations.
- Represent University Recreation for various University/community functions and/or committee work.
- Contribute positively to the work environment by participating in honest dialogue that is indicative of the department's culture of teamwork.
- Willingly shares all information with department teammates in an effort to provide high quality outcomes that contribute to student success.
- Provide staff coverage during evenings, weekends, and special events as needed.

Minimum Qualifications

  • Bachelor's Degree in Recreation Administration, Business Administration - Sports Management, Physical Education, Student Personnel Administration, or related field.
  • Experience managing staff, maintaining equipment inventory, and/or facility supervision.
  • Excellent customer service skills and demonstrated ability to work effectively with a culturally diverse population.
  • Excellent conflict resolution, interpersonal, oral, and written communication skills.
  • Experience using Microsoft (Word, Excel, PowerPoint, etc.) email, and facility management software (Fusion Software).
  • Experience developing, implementing, managing, and evaluating outdoor operations and/or membership services.
  • Demonstrated willingness and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds and experiences.
  • OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Preferred Qualifications

  • Master's Degree in Outdoor Education, Recreation Administration, Sports Management, Physical Education, Student Services Administration, or related field.
  • Budget management experience, including forecasting/preparation.
  • Experience working in higher education and collegiate recreation.
  • Strong entrepreneurial skills and demonstrated ability to maximize revenue through appropriate design, development, staffing, and marketing.
  • Demonstrated experience administering risk management practices for assigned areas.
  • Experience managing a membership database and a collegiate recreation outdoor facility.
  • Demonstrated commitment to improving access to higher education for students through various activities.
  • A record of promoting inclusivity in the work environment.
  • Demonstrated participation in programs designed to promote inclusion.

Pay, Benefits, & Work Schedule

Salary: This position has a minimum annual salary of $49,833 and maximum annual salary of $69,766. The Hiring Department's expected hiring range is $49,833 - $59,800 annually. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the hiring range is based on the candidate's current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch)

Working Conditions: This position involves a combination of office/computer work settings, as well as physical presence in and around campus recreational facilities. It is essential to be able to meet the physical demands of remaining at a desk/computer workstation for prolonged periods of time, using repetitive arm, hand, and finger movements. Some stooping, kneeling, bending, crouching, lifting, walking, carrying, or moving of objects and other movements may be required. Evening or weekend work and/or occasional travel may be expected based on changing needs, requirements, deadlines, and budgetary constraints.
