Job Description

This position will be responsible for:

  • Coordinate several in person semester-based School of Medicine courses.
  • Arranging space/room reservations for the course(s).
  • Obtain course related material (lectures presentations, exam/quiz questions, etc.). Post course-based material (*not lecture exam questions) to appropriate student course site.
  • Set up course lectures on the computer, connect to Zoom, connect with the St. Joseph Regional Campus classroom, and record session. (*Arrive 10 minutes early to troubleshoot IT/AV technical issues. Stay 3-5 minutes after the lecture has started to ensure no additional IT/AV issues occur.)
  • Assistance with Panopto lecture recording(s) maintenance.
  • Maintaining the course(s) website using Canvas.
  • Sending updates and reminders to students in the course(s).
  • Tracking student assignments.
  • Developing and maintaining lecture, labs, research presentations, small group schedules, and monitoring student participation in sessions.
  • Assist course faculty with exam preparation (Quizzes and ExamSoft), including grading, student reports, proctoring, recruiting proctoring team, room reservations, and testing accommodations.
  • Provide administrative duties (including testing accommodation details) for proctoring examinations of the above courses, and additional examinations as needed by the Office of Medical Education.
  • Resolving complex clerical problems related to the course.
  • Maintain shadow course records/databases. Keep items in the COC N drive archives.
  • Compiling course-related reports based on databases that the assistant maintains.
  • Developing and maintaining faculty communications.
  • Scheduling student appointments with course faculty members.
  • Contacting other units and departments involved with the course(s).
  • Working with the instructors to continuously improve the course.
  • Assist senior course coordinator and pre-clinical medical education deans with other courses or pre-clinical issues
  • Assist with data entry and database management of the curriculum management software, communicate with course directors and coordinators on obtaining data and assistance with the spreadsheet.
  • Inter-professional Education (IPE): Assist with the coordination and delivery of the IPE events that occur at various times throughout the year at both campus locations.
  • Execute special projects assigned by the Associate Dean of Pre-clinical Medical Education and Senior Associate Dean of Medical Education: assist with scheduling of courses in Year 2 and 3 of the medical school curriculum; this includes knowing the schedules for courses that occur in the School of Medicine building and assisting course directors when changes are suggested.
  • Other duties as assigned.
Minimum Qualifications

A high school diploma or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge, skills and abilities can be acquired is necessary

Preferred Qualifications

3 years of customer service, student support, or other comparable experience

Anticipated Hiring Range

$15.00 - $18.00 per hour, commensurate with education, experience, and internal equity.
